Reporting to the Director, Human Resources, the HR Administrative Assistant plays a key role in supporting the Human Resources operations in the department and throughout the college. The HR Administrative Assistant provides administrative support to the Director as well as the HR Generalist team.
The incumbent supports the maintenance and creation of employee files for full and part time staffing groups, while following the archiving and retention schedules. In addition, the HR Administrative Assistant will prepare, proofread and distribute contracts, correspondence, letters and internal memos in support of the Generalist team. They have responsibility for sending out position description forms and performance review documents as part of the yearly review process. In addition, they will assist the Generalist team with tracking and filing returned reviews and PDFs accordingly.
The HR Administrative Assistant also plays a key role in the recruitment process including, scheduling interviews, creating interview packages for the hiring panel, administering reference checks and providing answers and resources to candidates when needed. The incumbent may also provide HR support on some recruitment panels as a support to the HR generalist team when required.
The incumbent is responsible for a number of other administrative duties including, participating in team meetings and minute taking for cross department meetings. Meeting scheduling for the Director and Generalist team as required, distributing seniority lists, monitoring and tracking a number of internal lists and tracking tools used by the department, providing back up support to the HR Benefits Assistant and the HRIS team when required, and answering email and telephone inquiries for the HR department.
The successful candidate will possess a minimum two-year diploma in Office Administration or Business administration. Prior experience in an office environment is an asset. Preference will be given to applicants with practical experience in an HR environment. Experience working with a Human Resources Information System (HRIS) will be considered an asset. Additional qualifications demonstrated excellent communication, time management and interpersonal skills as well the ability to work autonomously.
