SUMMARY
This position is responsible for accurate reviewing, correcting, and ensuring accuracy of transportation service invoices nationwide in a timely manner. The employee performing in this position will work directly with the regional logistics operation teams, transportation Program Manager and finances billing team to ensure invoicing activities can take place according to set standards. He or she will also be responsible for becoming familiar with transportation contracts so that pricing can be translated in Dynacare transportation systems into accurate billing for services rendered. He/she will also work with the billing team and client to resolve any invoicing issues that are identified either internally or externally.
The Billing Analyst will also support the achievement of Dynacare vision, mission, strategic and operational objectives in line with Dynacare’s values.
KEY RESPONSIBILITIES/ACCOUNTABILITIES
Enter and maintain information in the transportation information system ensuring accuracy of information and results
Ensure all orders are finalized in the system at the end of each month
Review house accounts against current contracts to ensure orders are under appropriate client accounts
Correct account/pricing errors in house accounts
Work with Regional Ops Managers and coordinators to correct systemic account/pricing errors
Work with billing team to review and approve all previously identified pre-billing reports for account and pricing accuracy
Investigate invoicing queries originating from client
Resolve any billing issues as identified either internally or externally
Participate in meetings as required
Work with Program Manager and Billing team to identify areas of opportunity, including system improvements.
Communicate with client as required
Communicate price escalations with the billing team
Maintain tracking documents associated with pickups and deliveries
Develop and maintain a master pricing document and ensure system updates have been completed as required
Pull raw data for monthly and quarterly reports
Manage the communication of client schedule changes and ensure these changes are made in the system
Create SOP, reports and metrics. Set up standards and monitor KPIs
Audit systems, invoices, proof of services and reports
Perform any other duties as assigned by Director of Logistics and Process Engineering
KNOWLEDGE, EDUCATION AND EXPERIENCE
3-5 years expertise in billing or document review activities
2-year college degree or higher
A high degree of personal ethics, integrity and responsibility
Must be able to communicate clearly and effectively – bilingualism will be considered an asset
Ability to work collaboratively as well as independently
Proven ability to work with complex billing structures
Proven experience in reviewing pricing documents and translate into proper billing
Must be analytical and have experience in problem solving
SKILLS AND ABILITIES
Comfortable with ambiguity, enjoys dealing with complexity and is at his/her best when balancing multiple priorities within a dynamic, fast paced, high demand environment
Customer driven
Ability to translate contract requirements into billing software
Capability to investigate billing inquiries and correct deficiencies
Full proficiency with MS Office suite (including Word, Excel, PowerPoint, Outlook)
Willingness to learn new systems and processes
Knowledge of Courier Complete software will be considered an asset
Attention to detail and well organized
WORKING CONDITIONS
Office based position. There is an option to work from home, when needed
5% travel requirement, mainly within Ontario
