DynaLIFE Looking for Administrative Support IV (Open to internal DynaLIFE and APL applicants only) at Calgary, AB Full Time

• Transcribes from longhand notes or dictating equipment, types correspondence, bulletins, presentation materials, reports, forms, memos, etc.
• Answers telephones, relays messages and refers callers to the appropriate areas/individuals.
• Reviews and prioritizes incoming correspondence, identifies related background material, and re-routes to appropriate individual or area.
• Main point of contact within the department for internal and external personnel, other departments and hospitals.
• Coordinates and schedules appointments, meetings, travel arrangements and other special time

commitments, remaining constantly aware of priorities and responsibilities.

• Arranges special events, clinical academic half day sessions, meetings and conferences (e.g. booking facilities, catering, and speakers; preparing presentation and teaching materials).
• Attends meetings; prepares agendas, collects and assembles materials for meetings, takes, transcribes, and distributes minutes. Tracks action items
• Provides administrative and technical support for clinical section and office support functions and other duties as required.
• Develops and maintains accurate and comprehensive filing system.
• Performs other related duties as required

Required Experience

• Minimum two years of experience in a related position.
• Experience in a healthcare environment.
• Previous experience in clinical laboratory.
• Previous experience utilizing PeopleSoft.
• Required experience in scheduling a large task force, doing monthly schedule and weekly bench schedule for staff.
• Previous administrative experience working in a Microbiology laboratory or healthcare environment is an asset
• Ability to prioritize tasks, meet established deadlines, adjust to changes in workflow and apply effective change management skills is an asset.

Minimum Qualifications

• High school diploma.
• Post-secondary diploma in Administration or Business is an asset.
• Graduate of a medical Administrative Assistant or Secretarial Arts program or equivalent is an asset.
• Completion of a Medical Terminology certificate is an asset.
• Knowledge of Microsoft Office including Microsoft Word, Excel, Power Point, and Access.
• Knowledge of medical terminology.
• Excellent keyboarding skills
• Excellent time management, problem solving, prioritizing and organizational skills
• Excellent interpersonal skills, written and verbal communication skills.
