EPAM Canada is looking to add an Office Specialist to our team in the Kitchener office. RESPONSIBILITIES
Create and support an office environment which represents EPAM Canada’s culture of a warm and fun environment. Being friendly and kind are key to our office culture
Perform all requested duties to help our Kitchener office run smoothly. Some virtual support may be required for other Canada offices
Greet visitors, clients and employees as they arrive at the office and assist them with their needs
Monitor incoming emails and answer or forward as required
Help with our security and compliance audits as needed
Manage the office conference rooms including coordination of conference calls/meetings on a daily basis to make sure all run smoothly and ensure conference rooms are in working order
Order catering for client and internal meetings
Review and prepare expense reports and office related invoices in a timely and accurate manner on our internal system
Manage incoming mail including sorting, scanning to PDF, and emailing to the appropriate person or group
Manage courier services including handling the shipping of packages, both domestic and international and receiving and distributing incoming packages
Intermediate to advanced knowledge of MS Office (word/excel/PowerPoint/Outlook) to complete tasks (correspondence, reports, memos, proposals, charts, agreements, PowerPoint presentations, booking conference rooms etc.) to support business wide operations
In partnership with IT, Security or Property Management, help coordinate badge access for employees
Assist with event planning and implementation
Monitor and maintain office supplies, making sure common spaces stay fully stocked, clean and well-organized
Ensure office equipment is properly maintained and serviced
Perform work related errands as requested
REQUIREMENTS
High School Diploma or equivalent. Post-secondary education or training in office management/administration an advantage or equivalent work experience
A minimum of 1-2 years previous office management experienced strongly recommended
Competent computer skills including MS Office, Outlook, Microsoft Teams
Strong verbal and written communication skills
Exceptional organizational and prioritization skills
Internet skills including use of e-mails, group messaging and data collection
Self-starter, responsive, with a customer service approach
Strong problem-solving ability, attention to detail, flexibility, reliability and teamwork skills
Ability to travel to other local locations as needed to fill in for events or meetings
Familiarity working with senior leaders of an organization or clients
