Our client in the SE industrial area of Calgary is looking for an experienced Office Manager to help run their office through a range of administrative and financial tasks. Responsibilities:
- Answer phone calls and email queries.
- Receive, sort, distribute, and send daily mail and couriers.
- Manage office inventory such as stationery, business cards, and equipment.
- Create spreadsheets in Excel, PowerPoint presentations, and Word documents.
- Create and send invoices and statements to customers.
- Verify the accuracy of data input.
- Track job orders and payments and ensure appropriate cash flow into the company.
- Rectify billing errors and report any issues or regularities.
- Respond to account queries from clients.
- Receive invoices, validate, and generate payments.
- Handle printing and photocopying requests.
- Coordinate travel and lunches as needed.
- Support other administrative functions as required.
Requirements:
- Must have a minimum of 2 years of clerical office or administration experience.
- Previous experience in invoicing or general accounting is preferred.
- Previous experience working in a shop environment is an asset.
- Advanced proficiency in all Microsoft Office applications.
- Working knowledge of QuickBooks.
- Excellent communication skills both written and verbal.
- Self-motivated and able to work independently as well as within a small team.
- Excellent organization skills and strong attention to detail.
- Flexible to move between activities and duties quickly if priorities change.
- Works well under pressure and within tight deadlines.
