Exchange Bank of Canada is seeking a driven professional, with strong attention to detail to join their team as an Administrative Assistant!

Role Purpose: The Administrative Assistant’s responsibilities include providing comprehensive administrative support for the Bank’s Executive Leadership Team. This position will primarily support the Managing Director of the Bank and the Corporate Secretary with occasional support for three other executives.

Essential Functions:

Assist the Corporate Secretary/Managing Director, EBC (80%)

  • Provide general administrative support including calendar management
  • Provide project management support as directed
  • Manage travel arrangements and coordinate expenses for directors and executives
  • Coordinate catering and meeting room requirements for Board meetings, sales related meetings
  • Prepare and file expense reports for the Corporate Secretary, MD and directors
  • Support office maintenance needs – coordinate contractors and site visits
  • Support the coordination of office events such as monthly socials and seasonal events
  • Coordinate routine and special maintenance for the Bank’s corporate condo
  • Manage supplies (paper goods etc.) for office and the corporate condo

General Duties (20%)

  • Provide general administrative support and meeting coordination for the Chief Financial Officer, Chief Risk Officer and Chief Compliance Officer as requested
  • Coordinate with the CEO’s office team to provide any necessary support for the CEO while he is in the Toronto Office

Required Education & Experience:

  1. Bachelor’s degree in a business (or related) field
  2. 1-2 years of experience with providing administrative support
  3. Experience with Microsoft Office Suite
  4. Self-starter, capable of working independently

Position Type/Expected Hours of Work:

This is a part-time, on-site position. 3 days per week ranging from Monday through Friday. Evening hours and occasional weekend work may be necessary.
