Assistant Manager, Golf Operations
The Assistant Golf Operations Manager will be responsible for working closely with the Golf Operation Manager to ensure the day to day successful operation of the golf guest services and golf retail departments of the golf division. In addition to the overall functioning of the operation, this position will specifically be responsible to oversee the proper functioning of group execution, on-course golf experience, cart and range operation and rental equipment. The successful candidate will have strong communication and organizational skills and is comfortable making quick and creative decisions, and exceeding guest expectations while demonstrating a high level of responsibility for their own actions.

What you will be doing:
Reporting to the Golf Operations Manager, responsibilities and essential job functions include but are not limited to the following:
Daily run golf morning meeting at 8am (follow SOP)
Daily attend Hotel morning meeting at 8:30am representing golf (following SOP)
Run a weekly Tee Sheet meeting with F&B, Turf & operations team to review operation
Run weekly or bi-weekly Supervisor meetings for each area (singularly or combined)
Attend weekly management meeting
Support recruitment needs for the operation
Ensure staff are properly Uniformed
Oversee the Pre-arrival email program (SOP)
Oversee all colleague access requirements through the Grant/Revoke access request (ARM) portal.
Ensure all On-boarding logistics are coordinated for each colleague and policy sign-offs are completed and where necessary shared with T&C, H&S and put in files.
Ensure all staff are properly trained for the jobs they are being asked to do (supervisor & colleagues).
Oversee Monthly communication meetings with colleagues (singularly by department or combined)
Oversee clubhouse key SOP including the storing, access, provision and reclaiming of keys.
Oversee the Operation leadership team
Oversee the Guest satisfaction Feedback loop
Oversee the Colleague Satisfaction feedback loop
Order all budgeted resources on the necessary timeline and work with office manager on when received/delays etc. for month end and tracking purposes
Sign-up/organize/plan/promote/schedule and reconcile any Retail Sales opportunities undertaken (Calgary/Edmonton golf shows, Fall (Oct.) hotel sale, November Valley Ridge sale and December Hotel sale.
Scheduling, Payroll, departure requirements, EAFs and discipline or recognition for all operations positions (Assistant Golf operation managers, retail and golf guest services supervisors, tournament coordinators (including reservation supervisor if one hired), retail staff, golf guest service staff, reservation staff).
Incentive plans or programs for all areas of the golf operations (ie, bingo for retail, rental club recovery, pace of play, etc.)
Oversee the TagMarshal system with FBSH IT team and company. Effectively use to monitor pace of play in real-time and ensuring the Pace of Play SOP is being followed and executed as written
Liaise with the Hotel Bean Team on the operation of the Bean on the Green
Liaise with the Hotel Guest Service Team on the operation of the Golf Shuttle
Liaise with the Hotel Engineering team on Open Work Orders
Liaise with the Turf team on the day ahead
Guest Services Retail Pre-season Preparation
Ensure all product being put on the floor is entered into concept and priced. If not – advise Office manager
Ensure pricing posters/sheets are created for ‘counter items’ or items like shoes/clubs/balls/accessories not easily tagged
Ensure the goods are merchandised to show their best and all merchandising tables/mannequins are used effectively (see SOP for direction)
Ensure counter area is set up with all necessary items for operating (bags, pens, envelopes, etc.)
Ensure the change room is clean and in good operating repair
Ensure the shop is cleaned from ceiling to floor and all shelves, cabinet tops dusted and wiped down and windows cleaned inside and outside
Set-up rental club area and outside check-in counter
Review how to open/close the awning and the SOP of its use
Ensure all storage rooms are known for where product is kept and what inventory we have.
Ensure all storage spaces are clean and organized
Ensure all necessary signs/labels or helpful organizational tools are put up
Review all Policies and SOPs for retail and ensure they are up to date (discounts, green fee types, membership types, booking procedures, etc.)
Rental Club slips, binder and tracking information ready
‘Go Manual’ system is ready and in place
Computers are functioning properly with profiles.
Fully stock the Retail Shop
Other duties as assigned
Qualifications
Your experience and skills include:
Business Degree or Diploma in a recognized Professional Golf Management program is an asset but not necessary.
Previous experience in a similar role in Fairmont or the golf business.
Valid Driver’s Licenses and updated drivers abstract
Previous experience in a leadership role within a large golf operation
Able to work flexible hours (early morning, evening and occasional split shifts)
Proficient in computer Programs (Microsoft Word and Excel, Reservation and POS systems). Previous use of the Golf Concept software program is an asset.
Proven capability and experience with Financial and Human Resource Management
Excellent written and verbal skills with a high attention to detail required
Ability to deal with high-pressure situations in a fast-paced environment
Solutions-orientated, strong interpersonal skills and problem solving techniques
Highly motivated, career-minded team player who is guest driven with a passion to continually exceed expectations and anticipate needs
Proactive with a demonstrated eye for detail and the ability to manage multiple functions
Previous work experience at Fairmont is an asset.
