Position Summary
Under general supervision, provides administration, coordination and technical assistance to the Senior Regional Administrative Coordinator to support the FNHA Northern Team and its initiatives and projects that advance the mandate and interest of the FNHA. Participates in the development and implementation of plans, systems and processes and procedures essential for effective and efficient operations.
As a health and wellness organization, the First Nations Health Authority has aligned with the Provincial Public Health Order released on October 14, 2021. We have a mandatory COVID-19 vaccination policy for all employees at First Nations Health Authority. This policy requires all employees to be fully vaccinated against COVID-19. If selected for employment, you will be required to provide proof of vaccination by providing a copy of your BC Vaccination Card Passport with the QR code.
Responsibilities
Provides a full range of administrative support, including but, not limited to;
Maintenance of the FNHA Northern Regional Office filing system and document tracking systems, inclusive of the archiving and tracking of FNHA files and inventory
Preparing meeting materials and meeting packages for scheduled meetings including booking of meeting space and catering requirements
Provides minute taking services as required for both internal and/or external meetings
Ensures maintenance, security and confidentiality of files and documents both hard copy and electronically to ensure easy retrieval and in accordance with FNHA policy and procedures
Provides event planning support that is inclusive of confirming facility availability, requesting quotes for meeting space, accommodations and catering; regular monitoring of RegOnline and responding to registrant questions as required; provision of final rooming list based on RegOnline reports; creation of event travel claim templates for each event; receiving travel claims and assigning coding as provided for purposes of authorization for payment
Performs other relevant duties as required
Qualifications
Education
Grade 12, plus Business or Office Administration Certificate or an equivalent combination of education, training and experience
Experience
Experience working with BC First Nations Communities and/or organizations
Experience utilizing a variety of office tools including Microsoft Office Suite, excel, word, power point with an aptitude to embrace mastery of new computer systems and databases
Experience in the establishment and maintenance of filing systems and file management processes
Experience in meeting preparation processes and minute taking
Experience in event planning for events such as meetings, training session, engagement sessions, conferences, etc. that service up to 200 participants
Experience in handling sensitive confidential information and matters in a trusted and responsible manner
Knowledge, Skills & Attributes
Knowledge
Knowledge of FNHA and its structure and inter-dependencies
Knowledge of administrative services, processes and procedures
Knowledge of information, records and data management approaches and options
