What are we are looking for?
WE ARE SEEKING an experienced accounting professional looking to work in a dynamic and growing company. This individual would be working as part of our accounting and finance team, coordinating our customer sales orders and accounting administration processes. The successful candidate will have strong financial acumen, as well as excellent communication and collaboration abilities – as this role is central in maintaining attention to detail and accuracy for our clients, sales team and project team.
The vision and purpose of the Accounting Coordinator position is to:
Deliver an excellent order fulfillment experience, by bringing a high level of detail, communication and accuracy to the sales order process. Collaborating with other departments for smooth execution.
Administer time tracking for our in house services, by working directly with our highly skilled service teams to record and apply their time to the relevant projects and clients. (including design, installation, project management and delivery).
Support project profitability, by reviewing and monitoring open projects and accurately applying the relevant costs and resources required.
What will you be doing?
Sales Order Administration
Import and Create sales orders within the company’s ERP software system.
Review sales orders regularly and proactively to ensure info + details are added and updated.
Administer deposit payments, customer registration forms, and credit card authorizations.
Coordinate with purchasing for accurate product specification + optimal incoming product timing.
Collaborate with accounting and warehouse team on delivery records to inform invoicing of goods.
Services Time Tracking
Set up projects in time tracking software with budgeted hours based on sales handover.
Record and apply timesheet data to open projects and service calls.
Project Costing and Billing
Review and apply project related costs, including subcontractor invoices, price increases and freight.
Monitor project budgets and participate in preparing project profitability summary reports.
