What are we are looking for?
WE ARE SEEKING a project coordination expert looking to work in a dynamic and growing company. This individual would be working as part of our talented Project Management team, supporting our Project Managers and providing critical coordination of project data and processes. The successful candidate will have strong financial acumen, as well as excellent communication and collaboration abilities – as this role is central in maintaining attention to detail and accuracy for our clients, sales team and finance team.
The vision and purpose of the Project Coordinator position is to:
Coordinate execution of commercial kitchen projects – by bringing a high level of detail, communication, and accuracy to the project related processes. Collaborating with other departments for smooth execution.
Support Project Managers – by assisting in the timely updating of order data, change orders and project documentation. As well as assisting with scheduling and coordination for deliveries, sub-trades and installations.
Provide order administration excellence – by working as the intermediary between sales and finance, importing project quotes into our ERP system, sorting product and service data and reconciling project totals to ensure accurate information prior to project initiation. Then overseeing and updating sales orders with our ERP system throughout the lifecycle of our projects.
What will you be doing?
Project Coordination
Assist in the preparation of project kick-off meetings, ensuring all stakeholders are aware of their deliverables for a successful meeting outcome.
Prepare project submittals including specification packages and shop drawings for client, GC, and consultant review.
Sort all incoming project documentation and maintain sharepoint folders and other cloud file storage.
Coordinate with warehouse and stainless shop for outgoing shipments, deliveries, installations and invoicing of goods.
Follow-up and update on A/R status of projects with finance team.
Monitor our clients Work Order software (Service Channel) for urgent orders for select clients and ensure appropriate and timely actions are initiated.
Sales Order Administration
Import project quotes from quoting software into our ERP software. Data cleanup and project totals reconciliation.
Proactively work with purchasing team for accuracy of product specifications + optimal incoming product timing.
Review sales orders regularly for accuracy, updating order data as necessary and adding relevant documentation.
Provide information on purchased products, such as equipment manuals, invoices, links, etc.
Handle requests for returns, RMA order creation and efficient execution.
PM Support
Meet with Project Managers on a regular basis to understand the needs and priorities of each project.
Create change orders for client review in collaboration with Project Manager.
Support the Project Manager during the final stages of project completion, tracking final equipment and stainless-steel needs on site.
Assist in the scheduling and oversight of equipment commissioning and ensure all close out packages are complete for delivery to the customer.
Answering customer queries and handling urgent correspondence when Project Manager is away.
Assist with routine administrative tasks to help project delivery improve performance.
What YOU bring to the table.
Project and Construction Experience – You are familiar and confident working in the project management field of the construction industry.
Data and Administration Skills – You are able to navigate and process a high volume of data within software programs, experience with an ERP system is an asset.
Detailed discipline – You are organized, detail orientated and diligent with tasks and projects assigned.
Communication and Collaboration – You are able to communicate well with clients and team members alike. You are willing to collaborate with other departments.
Continuous Improvement – You are able to recognize opportunities for improvement, such as process gaps and procedural challenges.
