As we rapidly grow our team and locations, GraceMed is looking for an experienced Office Manager for our Plastic Surgery/Aesthetics Clinic in Mississauga. Our ideal candidate would be someone who has experience working in a high-volume, patient focused medical and/or aesthetics clinic.
Responsibilities:
Demonstrate luxury service and next-level patient care
Plan and monitor the day-to-day running of administration operations to ensure smooth progress
Mentor and coach employees through performance management and consistent feedback
Ensure practice is providing the appropriate level of patient service including the resolution of patient concerns/issues
Manage relationships/agreements with vendors/pharmaceutical companies
Conduct regularly scheduled staff meetings
Assign staff members duties and responsibilities and oversee accuracy and completion
Maintain organized medical and staff records
Prepare work schedules
Oversee physician schedules to maximize booking efforts
Manager coordination and clinic flow of the surgical side
On-board and train new employees
Generate inventory records and conduct month count
Ensure compliance with current healthcare regulations, medical laws and high ethical standards
Maintain office cleanliness and organization
Manage needed maintenance of the clinic, including organizing contractors, setting up walk throughs etc.
Lead by example in terms of professionalism and work ethic
Review and approve hours worked by staff by deadline
Align to provide open and candid communication within the department
Provide additional administrative support where needed
Collaborate with Director of Operations on marketing initiatives
Manage injectors and medical aesthetician schedules to maximize booking efforts
Constantly providing feedback to Operations on how patient experience and clinic flow can improve
Assist providers in managing clinics social media page
Provide finance is needed monthly reports
Other duties as assigned
Skills and Experience:
Proven experience as a Medical Office Manager or equivalent position, in private practice sector
Excellent organizational and leadership abilities
Outstanding communication and people skills
Knowledge of industry’s healthcare legal rules and guidelines
In depth knowledge of diverse practice functions and operations
Working knowledge of data analysis and performance/operation metrics
Familiarity with MS Office, practice management software & patient engagement software
