About The Role
Reporting to the VP – Construction: Buildings , the site Administrative Assistant is based in Dawson Creek and supports the Project Manager, Superintendent, and project staff in a number of areas to ensure a smooth operation of the site-based office. This is a project site (field based) opportunity that will require travel to the site in Dawson Creek unless currently residing there.
As a Administrative Assistant at Graham, you will:
This position is based in Dawson Creek and supports project staff in a number of areas to ensure a smooth operation of the site-based office.
Manage document control duties including assembly and distribution of Project related information on a web-based information management system (Aconex).
Maintain an organized hard-copy filing system on the Project, including photocopying, as required.
Assist Project, Health and Safety and Quality Management Staff in developing and maintaining document and information databases, logs and records.
Prepare information packages electronically to support field staff in efficient execution of site meetings, inspections and record keeping.
Manage meeting room bookings including organizing meals and refreshments as required.
Be responsible for preparation of minutes and other correspondence as required.
Booking Travel for site personnel and completing expense reports.
Complete time entry for some project staff.
Main reception, controlling access for visitors, completing paperwork associated with receiving of deliveries and coordinate all deliveries to the site.
Managing supplies for the office including courier deliveries and receipt.
Tidying up of meeting rooms and whiteboards before and after meetings.
Occupational First Aid Level 3 would be beneficial, but not a requirement.
Qualifications/ Experience:
A High School graduate, Administration Diploma or equivalent experience.
A Minimum of 3 years of administrative experience.
Prior document control experience within a Construction environment.
A minimum of 50 WPM typing skills, with good formatting and grammatical skills.
Good written and verbal communications skills.
Strong interpersonal skills and ability to excel in a team environment.
Strong work ethic.
Word processing skills using MS Office (Word, Excel, Outlook, PowerPoint) Visio.
Strong computer skills using various software systems and prior document control experience an asset.
Experience using the Oracle – Aconex document control system would be an asset.
Occupational First Aid training would be beneficial, but not a requirement.
