About The Role

Reporting to the Operations Accountant, the Subcontract Administrator is responsible for providing subcontract administration support for projects within the Industrial Alberta portfolio. The incumbent is responsible for executing tasks in accordance with company policies and procedures, and in compliance with project contractual terms and conditions, enabling agreements, and tax legislation. The role is focused on delivering and executing work with direct supervision from the line manager. The Subcontract Administrator is a representative of the Operations Accounting function and works directly with the Operations Project Teams, building collaborative working relationships and dedicated to meeting internal and external vendor and client requirements.

As a Subcontract Administrator at Graham you will:

• Responsible for the distribution and tracking of supplier subcontracts for the Industrial Alberta portfolio
• Ensure completeness of returned subcontracts (Signatures, WCB clearance, bonding requirements met, proper insurance documents returned).
• Ensure all subcontracts are duly executed and uploaded in SAP
• Responsible for halt code monitoring on an ongoing basis for all subcontracts
• Review subcontractor invoices for compliance with invoicing standards
• Maintain compliant invoices in SAP
• Assist team members with other duties as required
• Adhere to company policies, procedures, and internal controls at the project level
• Build effective work relationships with Operations.
• Meet the expectations and requirements of internal and external stakeholders and ensure positive relationships are maintained.
• Demonstrate strong communication skills with project stakeholders, and seeks guidance as required
• Establish honest, open, trusting relationships with team members.
• Bring energy and perseverance to the pursuit of goals and follows through on commitments.
• Demonstrate an understanding of, and commitment to, Graham’s values and the Operations Accounting functional strategy

Qualifications/Experience:

• High School Diploma is required.
• Post-Secondary Business/Accounting Program an asset

• Experience in accounts payable, accounting or project administration required
• Accuracy and attention to detail is required
• Self-motivated and thrives in a fast paced environment
• Deadline oriented
• Demonstrates effective verbal and written communication skills.

• Experience in the Maintenance or Construction Industry is considered an asset.

• Has an understanding of data flow and management
• Proven aptitude for systems and technology
• Possesses strong Excel skills.
• Possesses working knowledge of ERP systems, SAP preferred.
