The successful candidate will be based on site and support the project staff as we self perform the construction of condominium projects within the GTA. The candidate will see this as an entry level position into the condominium construction industry. Career development can lead to more senior roles in project management and site supervision. The candidate must have a willingness to learn and expand their scope of duties as they gain experience. Graywood has multiple openings at this level over the next 6 months.
Responsibilities:
Primarily responsible for organizing and distributing the various documents required on site and by trade contractors to execute the project, including drawings, specifications, submittals, RFIs and site instructions. This includes becoming proficient in the use of Autodesk Build, our document management system.
Prepare, submit and expedite resolution of RFIs.
Order drawings and make copies of documents as required to maintain up to date paper copies of project information filed in Autodesk Build.
Responsible for organizing all site safety documentation and expediting their collection.
Assist the accounting department with procurement of trade contractor documentation related to accounts payable.
Maintain records and logs of concrete and reinforcing steel deliveries and provide running totals of quantities delivered to site. Aid with the monthly reconciliation of this information against invoices from the suppliers.
Maintain records and logs of all equipment rentals delivered to and returned from site.
Create purchase orders on our cloud based accounting system (Jonas) as directed by the site superintendent.
Attend various meetings and prepare minutes for approval and circulate approved copies.
Receive all visitors and deliveries to the site office and file all delivery slips, matched to their purchase orders.
Maintain files for all suites including suite finish and upgrade selections and post in suites.
Assist with the tracking and closeout of issues arising out of consultant site reviews.
Coordinate documentation for occupancy and assist the project management team with collection and distribution of closeout documents.
Assist the project scheduler with data collection for schedule updates.
Provide miscellaneous support to project management and site supervision staff. Tasks are expected to increase in complexity as experience and trust is gained.

Qualifications:
Related post secondary degree.
Proficient user of Excel, Word and project scheduling software.
