REPORTING TO: Property Manager
RESPONSIBILITIES:
The position of Property Administrative Assistant is an integral member of the Mancal Properties (MPI) team. MPI team members have assigned responsibilities for property management, health and safety, leasing, development, transactions, accounting, finance and corporate reporting. The Property Administrative Assistant will generally support all of these areas but specific responsibilities include and are not limited to:
Maintaining and building positive relationships with our tenants;
Monitoring monthly rent payments and following up with tenants;
Follow up tenant communications regarding rent increases, recoveries, insurance and other matters as required;
Opening, sorting and distributing mail for MPI;
Digital filing of essential information;
Completing monthly utility consumption spreadsheet, address any issues with billing, maintaining tenant insurance expiry records, proof of property tax payments and property tax appeal authorizations for all properties;
Supporting the preparation of the annual operating and tenant recovery budgets and quarterly comparison of actual to budget. Providing information for the annual budget and 5-year plan preparation as requested by Management;
Managing, organizing, and ensuring the accuracy of information recorded in either digital or hard copy files for the tenant, property and key contacts;
Supporting the development of property management procedures and activities;
Vacation coverage for Senior Property Administrator as needed; and
Administrative duties and support for the MPI management team as assigned, including expense reports, VISA reconciliation, office supplies, website updates and travel arrangements.
QUALIFICATIONS:
To meet the challenge of this role, we are seeking an enthusiastic, energetic, extremely organized, self-starter with outstanding computer and people skills. This individual will be able to manage multiple responsibilities in a flexible, deadline-driven environment. The ideal candidate will have a minimum three years’ commercial real estate experience and basic property accounting experience. Preference will go to candidates with experience in the areas of responsibility who are comfortable taking initiative and foreseeing areas where we can be proactive. Health and safety administration experience would be considered an asset. Proficiency in MS Word, SharePoint and Excel are essential.
