POSITION OVERVIEW
The Administrative Services Manager will provide supervision and leadership to a team of administrative employees who, in turn, support the finance and operations departments of the company. Additionally, this role will be responsible for maintaining a working knowledge of all business software systems and portals as they relate to work order management. This position will be a key support person assisting the Director of Finance and Regional Managers with reporting, KPI tracking, and operations process development.
ESSENTIAL JOB FUNCTIONS
Job Responsibilities:
Manages and coordinates activities of all employees engaged in administrative services such as contract administration, office and clerical services, work order management
Trains all users and implements all client and internal company software systems related to operations (GRM Time 2.0, client work order portals)
Reports daily on portal work order statuses to the administration operations team
Facilitates department meetings, including crossover to other departments within the company
Oversees phone systems and determines call routing and coverage for a 24-hour period
Acts as internal IT liaison to our external IT consultants and ensures employees are set up
Develops and implements methods and procedures for monitoring work activities to inform management of the current status of work orders and contracts
Oversees all contractor compliance to ensure all requirements are met and recommends changes to compliance documents and processes semi-annually
Performs weekly variance reporting on established KPIs to the director of operations and the senior management team
Liaises with the finance team on client invoicing portal training and updates
Qualifications:
Previous management experience of a minimum of 3-5 years
Degree or Certificate in a related field (preferred)
