Temporary Full-Time Human Resources Administrative Assistant (approx. 12 months) POSTING # 004-040
POSITION OVERVIEW:
Reporting to the Manager, Human Resources & Physician Recruitment, the successful candidate is an active team member and supports a variety of human resources activities. This includes but is not limited to activities related to recruitment; job posting; payroll entry/modification; coordination of orientation and maintenance of employee records.
SUMMARY OF DUTIES:
· Greet all visitors to HR department, answer questions and direct to appropriate staff member for assistance
· Administration of the HR general e-mail inbox
· Prepare Confirmation of Employment Letters and Confirmation of Hours Letters
· Coordination of HR activities and events (i.e. Volunteer Appreciation, Long Term Service)
· Support Clinical Volunteer Program (scheduling and recruitment)
· Coordinate and Facilitate General Orientation Program
· Maintain Employee and Job files
· Provide support to HR Department, including Agendas, Minutes, Learning Packages, Communication activities etc. as assigned
· Provide administrative support to the Occupational Health department for Return to Work and Benefit coordination
· Co-ordinate all documentation related to students, including Medical Residents, Nursing and Co-op students
· Other like Human Resources activities as assigned.
· Work with the managers on recruitment activities consistent with HR policies and procedures
· Co-ordinate of internal and external job postings
· Co-ordinate with applicants to complete necessary documentation and medical information prior to start date. Notify applicable departments (IT, Maintenance, etc.) of new employee hires or transfers to ensure IT sign-on, keys, etc.
· Create new employee files
· Entry of new employee data
· Submit employee change forms to payroll and assist with processing
· Process terminations
· Assist with report generation and creation as required by the Collective Agreements as well as the Human Resources Department
· Provides other administrative duties for the management team as required
