Billing Supervisor
POSITION PURPOSE
Ensure that our services are invoiced promptly aligned with our Compliance Process with the upmost quality standards
Billing Responsibilities
· Prepare, key in, edit and proof read bill only invoices
· Responsible for receiving and sorting incoming emails through outlook / Fresh Service
· Prepare reports (pre-invoice and unbilled) for Temp/Perm invoicing activity with clear and reliable data.
· Bi-weekly, Monthly Management Reports (Specific Billing Frequency)
· Compile information from multiple systems (GP,3SS, Web time, client portals) and departments to complete invoicing
· Liaise with business units (Front & Back Office Team) to resolve any questions/issues pertaining to Billing and escalating where necessary
· Provide support for monthly and quarterly audits
· Obtain, review and track purchase orders for billing purposes.
· Research and respond to enquiries from Collections department in relation to invoice queries
· Managing the use of other vendor portals for Invoicing (client related)
· Approval reviews for Credit & Re-bill while maintaining the Credit Log / GP Notes
· SLA within 24 to 48hrs, internal / external clients
· Ensure information is accurate and complete and meets global revenue recognition policy, including the validation of all internal compliance
· Communicate policies and procedures in clear language
· Continuously looks for best practices and/or opportunities to improve the billing process
· Assist/backup in other areas as needed
· Prepare and process billing adjustments and credits
· Provide exceptional internal and external customer service
· Other Billing Task as assigned
SKILLS
· Ability to handle pressure / competing deadlines in a fast paced culture
· Minimum 2 to 3 years progressive billing experience
· Knowledge of sales tax as it relates to multi-provincial billing
· Advanced skills/experience in MS Outlook, Excel (i.e. pivot tables, vlookup, formatting), and Word
· Sound understanding of math and basic accounting (i.e. debits, credits)
· Able to build relationships with all levels of staff
· Strong written and verbal communication; able to communicate with all levels of management and staff
· Strategic thinker who is able to contribute to service initiatives
· Ability to work independently and in a team environment
· Experience in MS Great Plains not required but considered an asset
· Fundamental experience in reading / understanding Business Agreements
· Self-starter attitude
· Strong prioritization
