Administrative Office Assistant
(at a friendly Calgary Dietitian Private Practice)

Position Overview:
We are seeking a fun-loving, supportive, and organized Administrative Office Assistant to join our professional team in a part-time 20 hour per week role (4 hours per day Monday to Friday) at our Calgary office that honours work-life balance and flexibility in your start time each day.
This important role plays a crucial part in ensuring the smooth operation of administrative processes in our Registered Dietitian practice. The role would focus on overall administration support of our team, customer service, invoicing/payments, and social media scheduling. The ideal candidate must have excellent communication skills, be personable, detail-oriented, and competent in overall computer skills including Microsoft Excel. Ideally the candidate has experience in accounting software such as QuickBooks online, social media scheduling, and simple graphic design for social media using tools like Canva.

Responsibilities:
· Provide exceptional customer service, addressing inquiries and maintaining positive client relationships.
· Welcome and greet our in-person clients with warmth and positivity and offer them refreshments.
· Manage and organize our company email inbox and work with our Sales/Intake team to support day to day inquiries.
· Collaborate with team members to enhance overall administrative efficiency.
· Process payments and utilize the accounting software QuickBooks Online to manage invoicing and billing processes, ensuring accuracy and timeliness.
· Work with our Marketing Coordinator to schedule social media posts, creating engaging visuals on Canva.
· Demonstrate a high level of attention to detail and organization in all tasks.
· Contribute to a positive and collaborative work environment.
Qualifications:
· A positive attitude and willingness to learn.
· Previous experience in an administrative role, preferably in the healthcare industry a bonus.
· Previous experience using accounting software for invoicing and financial transactions a bonus.
· Previous experience in social media scheduling and content creation on Canva ideal.
· Excellent communication skills and a customer-centric mindset.
· Ability to work collaboratively in a team-oriented environment.
· High attention to detail and accuracy in all tasks.
· Commitment to maintaining work-life balance and self-care.
