Job Description
Our Transit group is an award winning mid-sized design studio dedicated to delivering creative public transit design solutions that elevate and strengthen the communities they serve.

We are looking for a Project Coordinator with emphasis on Administrative responsibilities. The successful candidate will hold a Baccalaureate, preferably in Architecture, Engineering or Urban Planning and preferably have previous experience working with interdisciplinary teams, will have strong written and verbal communication and organizational skills, with an ability to think quickly to resolve problems in real time, and will also have a holistic understanding of the project delivery process.
Most Of The Things You’ll Work On:
Assist with the coordination, management, monitor and reporting of project milestones
Integrate and coordinate with all disciplines as required to complete project tasks
Liaise with extensive teams of consultants and contractors
Develop and maintain logs, registers and other tables for tracking purposes (update and maintain project schedules, track budgets, documents, etc.)
Liaise with document control and assist disciplines with document submissions including quality checks process
Coordinate meetings and associated materials for discussion/presentation; prepare agendas and minutes
Requirement to work from a project office (currently in downtown Toronto)
Qualifications
You’ll Need To Have:
Minimum Baccalaureate; preferably in Architecture, Engineering or Urban Planning
Previous work experience as a Project Coordinator or Administrator in the Architecture, Engineering or Urban Planning industries is an asset but not a requirement
Previous experience with interpreting and developing project scheduling, plans, and risks including document and quality control
Strong organizational skills and ability to handle multiple deadlines and work under pressure is expected
Proficiency MS Excel and other Microsoft applications such as Word, Powerpoint, Outlook
Proficiency Acrobat or Bluebeam for document mark-ups and comments.
Proficiency with FTP, Project Wise, SharePoint, ISO, MS Office. PM+ experience is an asset
Strong communication and presentation skills – both written and verbal
Additional Information
We are currently in a work from home model during COVID-19, but when we do return to the office we’re located at 55 St. Clair Ave West, this office is steps away from St. Clair station and is easily accessible by bike, TTC and car. Occupying 7 floors, with over 700 employees, it is the largest office at IBI Group. The floors are open concept and represent our collaborative approach to projects.
