Our well-established client located downtown Toronto has partnered with Kelly Services to recruit for an Investment Assistant to join their team on a 6 month contract. Reporting to the COO, you will work with our team of four Brokers to provide exemplary customer service to their high net worth retail clients. When you are not servicing external clients, you will work directly with our COO to provide administrative support in the day to day aspects of growing our firm.
Responsibilities include but are not limited to:
Provides professional administrative support to all aspects of the retail client sales cycle, including responding to incoming phone calls and emails
Prepares the file necessary to open accounts. Ensures client file is up to date within the time periods prescribed by IIROC. This involves identifying the client and determining which forms must be completed depending on the type of account and client.
Coordinates between departments to resolve day-to-day administrative and operational problems, on behalf of COO
Ensures the client contact management system is updated, on a daily basis
Extracts information from systems, and, in response to clients’ requests for information, prepares and sends memos, letters and documents including reports on capital gains and losses in portfolios, as well as the handling of cash and stock trades.
Liaises with our external vendor to resolve any technical IT requests/issues
Manages special projects, on an ad hoc basis
The ideal candidate will have:
Two to Five years’ experience working as an Investment Assistant
Successful completion of Canadian Securities Course (CSC) as well as Conduct and Practices Handbook (CPH)
Currently Registered and Licensed with IIROC
Strong client service skills with a passion to provide a ‘white glove’ approach to each and every client interaction
Superior attention to detail skills with the ability to multi-task and recommend solutions for the client issue
Previous experience working within a small entrepreneurial team, an asset
Excellent English language communication skills, both oral and written
Ability to handle sensitive and confidential information with discretion
