Kootenay Columbia College, formerly the Academy of Classical Oriental Sciences (ACOS), is seeking a full-time Registrar to guide students through the application and acceptance process, provide academic guidance, and maintain student records. This position is on-site and based in Nelson, BC.
Kootenay Columbia College, formerly the Academy of Classical Oriental Sciences (ACOS), is a well-established post-secondary College since 1996. KCCIHS is designated by the Private Training Institutions Branch (PTIB) of the Ministry of Post-Secondary Education and Future Skills. The heart of KCC lies in our amazing teaching faculty and students. Our faculty consists of passionate individuals, many of whom run successful private practices or have decades of experience working in their modalities.

Requirements
● The ideal candidate will have previous experience working in a post-secondary setting
● Minimum education Bachelor degree
● Minimum 3 years experience in a similar role

Key Duties and Responsibilities
Academic Records
● Oversees/manages/generates all Academic Records
● Creates/files Official Transcripts and Diplomas
● Create and email student report cards at end of each term
● Create and file student diplomas upon graduation
● Download and file gradebooks for each course at the end of each term
Governance
● Assists in program developments and accreditation/registration documentation
○ Canadian Massage Therapy Council for Accreditation (CMTCA)
○ College of Traditional Chinese Medicine Practitioners and Acupuncturists of BC (CTCMA)
○ Other future regulator bodies
● Assists/maintains accreditation and registration with:
○ Provincial and Canada Student Loans programs
○ Private Training Institutions Branch (PTIB)
Recruitment and Admissions
● Oversee recruitment and admission of new students
● Coordinating with the Admissions Advisor, Program Advisors Officers and other departments to ensure that students are enrolled in the appropriate courses and have provided the required documentation for admissions to the chosen program
● Oversee record keeping and admission documentation
● Create and oversee Student Enrollment Contracts and related contract inquiries, conflicts and policy enforcements
● Provides official program acceptance and acceptance package
● Prepare Transfer Credit Assessments and Prior Learning Assessment Reports
● Provides academic advising to students
● Send policy forms for signature to domestic students during the enrollment process
● Audit files to make sure they are up to date and complete
● Answer student inquiries or direct them to the correct department
● Advise/explain process for International Student Admissions and assisting applicants with immigration inquiries/issues (visas, medical, etc.)
● Provide Letter of Acceptance form to international students for study permit application
Student Enrolment, Progress, and Dismissal
● Write welcome letters and send to students, including all class information such as dates, times, class links, instructors contact information, classroom rules, school policies, Classtrack training booklet, and student handbook(s)
● Assign students to their appropriate class/group upon registration
● Assign students to courses in the Learning Management System according to the student’s Enrolment Contract.
● Prepare when necessary and send dismissal letters via email to students
● Monitor student course completion (pass/fail)
● Assist students with academic planning.
● Review student progress each term /meet with students to determine any actions needed to complete their program and graduate.
● Ensure student compliance with all academic policies and procedures
● Participate in disciplinary meetings as needed.
Attendance
● Monitor student attendance to ensure they are meeting program requirements
● Send warning emails for missed attendance, missed financial obligation, or academic failure
Schedule
● Generate, maintain and manage the academic calendar and assist with creating class schedules.
● Schedule student exam rewrites or make-up exams
