LMB Systems Inc. Looking for Receptionist at Ottawa, Ontario, Canada Full Time

• Fulfill various administrative tasks and assist other colleagues as needed
• Assist with answering incoming calls, direct callers to the appropriate person, take messages, check voicemails, and greet all employees and visitors in a professional matter
• Contact and reserve interpreters for clients events and prepare the necessary paperwork in Intellievent. Ensure the interpreters confirm for the event. After the event, process the interpreters invoices to Accounts Payable in Stagevision on schedule
• Field all emails in the company’s email inbox, and forward to the appropriate staff when required
• Assist with preparing and updating various reports and electronic records
• Maintain the SI Studio for client events, print all documents the client may send prior to their event, set up meeting materials for Interpreters
• Keep PIPSC client information updated for their monthly events
• Organize and verify each region’s payroll submissions (hours, expenses, etc) for staff in all LMB offices across Canada. Calculate the hours to be paid for the hourly employees as per the Canadian/Provincial guidelines for all Statutory holidays, input bi-weekly all payroll data on to the LMB Payroll Spreadsheet to be forwarded to Toronto
• Balance petty cash, send all receipts and expense sheet to Toronto and receive replacement funds as needed
• Verify invoices, as well as VISA receipts, and prepare LMB PO’s if required prior to submitting to Accounts Payable in Toronto for payment
• Go on line to obtain vendor invoices, verify them, enter all relevant information in Intellievent PO prior to sending them to Toronto for payment
• Keep records on all vacation/personal/sick days for LMB staff
• Keep records on Personal Action Forms for Ottawa
• General filing, and scanning
• Ensure supplies are ordered for the Ottawa location as needed
• Other Ad Hoc administrative duties as assigned
• Offer assistance to other employees if needed

You will be required to work three days a week. Start time to be discussed.
