Administrative Assistant
Permanent Full-Time position
The Administrative Assistant is responsible for providing senior level administrative and organizational support to the Manager of Medical Affairs, Vice President of Medical Planning and Chief of Staff. In addition, this position works as part of the Medical Affairs team, whose function is to provide Human Resources, Occupational Health and Financial Services supports to all credentialed professional staff across the organization, including physician leaders. The Administrative Assistant will provide complex and confidential administrative support in a dynamic environment and will function with a high degree of attention to detail, quality, accuracy and prioritization of work in a team setting.
What must you have?
• Successful completion of a Diploma or Degree in Office Administration or related field preferred or equivalent combination of education and experience.
What else do you bring?
• Minimum of 3 years demonstrated senior office administration experience in an Administrative Assistant role in a healthcare setting.
• Advanced computer skills including Microsoft Teams, Word, Excel, PowerPoint and SharePoint.
• Demonstrated experience in budgetary practices and process with strong analytical skills.
• Proven advanced communication, organizational, customer service and interpersonal skills.
• Advanced experience in supporting and coordinating administrative requirements for clinical committees including taking and processing concise minutes.
• Demonstrated knowledge and experience with relevant legislation(s); experience maintaining confidential information.
• Results oriented work ethic to work independently and undertake tasks needed to accomplish work objectives and deliver quality, consistent and timely results.
• Self-directed, detail oriented, dependable and resourceful.
• Strong problem-solving skills and sound judgement.
• Prepared to respond to a fast-paced changing environment requiring flexibility with respect to working hours.Ability to deal effectively with multiple priorities and possess tact and diplomacy in dealing with inquiries and requests for information.
• Demonstrated initiative, high degree of accuracy and ability to handle a complexity of tasks simultaneously.
• Polished, professional interpersonal skills with an ability to work effectively in a team environment and with a variety of internal and external stakeholders.
• Professional and customer service oriented with an ability to work with individuals across all levels of the organization.
• Proven attendance record.
• Demonstrates understanding and complies with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.
• Ability to perform the essential duties of the job.

Preferably, your profile also includes:
• Experience in a Chief of Staff/Medical Affairs health care environment.
• Experience and education in physician-related activities an asset.
