DEPARTMENT SUMMARY:
The Client Solutions department is dedicated to building trust with every client request through a strategic approach of providing consistent and reliable service experiences through operational excellence and discipline. The department is responsible for both the day-to-day servicing of client requests as well as the integration of new products and changing regulatory requirements. Client Solutions focuses on continuous improvement and strives to build an environment where employees are empowered to take innovative ways to their work.
POSITION SUMMARY:
The Manager, Workforce Planning is responsible for developing operational and strategic capacity plans to achieve current and projected business requirements using advanced analytics tools and techniques. The purpose is to ensure that the accurate resources are in place to deliver high quality services in alignment with the strategic priorities of the organization, in the most cost- effective manner that take into consideration: service model, client segmentation, self-service and digital channels. The position requires a specific focus on data management, data investigation, predictive modeling, and data visualization that dive deep into impacts of possible scenarios and find meaning that will be important to reshape and influence new strategies. This is an important position requiring both technical knowledge and business awareness to build forecasts and support budget planning using advanced capacity planning models and best practises. This position will work closely with internal team members and requires strong client relationships with the management team. This role reports to the Director, Workforce Planning and will work closely with a team of analysts that specialise in workforce planning, analytics, modelling and intra-day management across Client Solutions and Contact Centres.
Key responsibilities:
Capacity Planning – Supports workforce planning and optimization practices on behalf of functional business units and in alignment with enterprise goals, by diving deep into the impacts of current and possible future scenarios
Optimization Practices – Develops and supports innovative recommendations that drive cost effectiveness solutions whilst delivering consistent client experience and employee engagement. Supports functional business units to achieve required service level, cost targets, and overall performance metrics through development of optimal staffing models and practices.
Business Planning – Supports business planning and recommends optimal capacity requirements based on historical performance, predictive analytics, and scenario-based analysis.
Analysis – Produces analysis and visualizations through groundbreaking technologies such as PowerBI, and Tableau. Generates insights, innovative ideas and solutions that improve our ability to efficiently deliver business plans.
Insights- Uncovers and communicates what those insights mean for the business, initiating discussions and actions.
Presents Data – Analyzes and clearly presents data and other information to identify significant trends or key issues, provides recommendations on trends, forecasts, and predicts future potentials.
Data Practices – Designs repeatable process for finding, cleaning and structuring data for capacity forecast models. Translate business needs into clear requirements and understands the process of data integration: including workforce and workflow data from central systems.
Communication – Communicates with and makes meaning of insights by effective storytelling regarding long- and short-term capacity requirements, impact of business changes, and other staffing and operational effectiveness changes.
Teamwork – Engages with various teams ensuring business readiness, improving service experiences, optimizing technology utilization, sharing business insights.
The following qualifications will assist the successful candidate:
Workforce Planning and Management: 3-5 years of experience in analytics and capacity modeling within a high-volume client centric back-office environment, including 3 years of experience delivering business insights to optimize capacity.
Business Process Experience and Knowledge: At least 2-3 years experience with proven success in a fast-paced environment. A passion for creating and delivering outstanding customer experiences.
Knowledge of capacity planning and financial modelling theories, and preparing financial budgets using profit and loss management methodologies.
Proven expertise in workforce planning practices such as: Staffing models, service delivery models, resource utilization and demand forecasting.
Experience administering automated workforce management tools and designing effortless back-end customer solutions.
Demonstrated technical expertise of workflow and workforce management systems and technologies.
Advanced Visualization capabilities using excel and PowerBI.
Possesses a Project Analyst discipline and solid understanding Agile principles and waterfall approach to participate in projects.
Change Management methodology including the ADKAR model.
Relationship Management: Ability to establish and maintain strong working relationships with business partners across the company and within the industry.
Results Oriented: Detail oriented with the ability to meet strict deadlines and the ability to set high goals and standards for yourself.
Critical /Strategic Problem solver: Ability to think and act strategically in a dynamic environment while anticipating future trends in service, technology, and training. An innovative mentality with creative approaches to problems.
Communications: Excellent written and verbal communication and an ability to communicate effectively across levels.
Planning and Organization: Ability to plan, analyze data, coordinate, and implement multiple initiatives and projects simultaneously.
Knowledge or experience in financial services, capital markets or mutual fund industry would be an asset.
