Primary Responsibilities
Participates in ensuring the smooth functioning of the unit. Collaborates with supervisor and others in establishing work priorities. Follows up on and ensures appropriate implementation of decisions made by supervisor. Supports the Faculty of Dental Medicine and Oral Health Sciences as part of its administrative back-up pool. Responsible for managing the Dean’s calendar, travel, and meeting schedule; schedules and coordinates the Dean’s meetings and assists with preparation of relevant documentation. Arranging and coordinating travel and accommodations for the Dean to national and international destinations in connection with University business. Prepares travel advances and expense reports for the Dean; processes purchase orders for the office and for all faculty events; pays invoices. Assists in coordinating logistics for events including invitations, room bookings and catering orders as appropriate. Schedule and coordinate meetings and assists with preparation of meeting documents, including writing accurate minutes. Ensures meticulous record retention, maintaining organized and accessible files. Maintains the electronic filing system in all areas pertaining to the Dean’s Office. Performs other related duties and participates in projects as required.

Proven ability to work in a PC environment using MS Office (Word, Excel, Power Point & Outlook).
Strong written skills in French and English.
Responsible and dependable when handling confidential information and documents.
Knowledge of the University systems is highly desirable (Minerva, MMP).
