The Polyclinic Family and Specialty Medicine Facility, located at 2 Champagne Dr, Toronto, is seeking a Full-time Medical Office Assistants to join our growing team.
Job Summary
The Medical Office Assistant is the first point of contact for Polyclinic. You will coordinate the intake and flow of calls, emails, faxes, requests, and registration of patients while working closely with all desk staff, physicians, and management.
The Medical Office Assistant will provide exceptional customer service to patients, colleagues, and other healthcare providers and maintain strict confidentiality in a high volume, fast-paced environment.
Your responsibilities will include, but are not limited to:
Manages all initial calls from patients and healthcare providers and directly responds to requests or routes to the appropriate person
Manages referrals, book, and confirm appointments and scheduling/rescheduling
Follow guidelines of Departmental Opening and Closing Procedures
Provide patient consent, instructions and collect patients forms
Assist with completion of insurance forms
Liaise with Blue Cross for IFH patients and Third Party Insurance Companies
Process payment for all non-OHIP patients or for uninsured services
Notify physicians of new information notices and assist with marketing materials and surveys
Assist with monthly physician schedule
Register new patients and existing patients by completing all applicable fields in Accruo
Verify OHIP eligibility to ensure payability
Prepare charts for physicians when needed
Scan inpatient documents to EMR (electronic medical records)
Follow-up with patients as needed, including for missed appointments or when advised by the physician
Organize and collect dictations (including corresponding with physicians)
Ensure proper set up of clinic rooms and physician cart. Light cleaning duties as required. Notify the Clinic Coordinator when supplies are low
Adhere to all policies and procedures as outlined in the Polyclinic Administration Guidelines
Perform all work in a PIPEDA compliant manner
Work in compliance with the Occupational Health and Safety Act and related legislation
Other related duties as assigned
Qualifications
1 to 2 years of medical office experience
Basic understanding of and experience with medical terminology and healthcare systems -Accuro
Strong decision making/analytical abilities
Excellent organizational capability
Exemplary interpersonal skills
Proficient in MS Office Suite

Staff is provided full medical PPE and clean surfaces according to guidelines. Patients are required to wear masks at all times.
