Position Description

We are seeking a detail-oriented Administrative Assistant to play a key role in supporting our People and Talent operations at Mechanism and its portfolio companies. This is predominantly an administrative position that involves a significant amount of filing, documentation management, creation of slide decks, and generating various reports. You will report directly to the Head of People and Talent and work with the People Operations, Finance, and Recruiting functions on day-to-day administrative tasks.

Key Responsibilities

• Assist in the coordination of the onboarding and offboarding tasks for team members across Mechanism Ventures and portfolio companies.
• Assist in maintaining up-to-date employee records for Mechanism Ventures and its portfolio companies
• Assist with day-to-day People Operations requests like pulling data and reports in the HRIS and helping put together presentation decks.
• Own sending, organizing, and maintaining files and contracts in the People Operations folder in G-Suite.
• Assists with organizing and maintaining the Applicant Tracking System.
• Assist Recruiters with preparing and sending out employment and engagement contracts.
• Co-facilitate the new hire swag and anniversary gifts program.
• Administer and support equity programs.
• Coordinate compensation reviews, benefits, and expense reimbursement.
• Handle ad-hoc tasks as they arise.

What You’ll Bring

• 1-2 years of experience in an administrative capacity, ideally within a fast-paced remote startup environment.
• Experience with tools to communicate in a remote environment such as Slack, Zoom, and G-Suite applications is required – and an eagerness to learn new tools and technologies.
• Strong communication and interpersonal skills, with a focus on proactive responsiveness and a commitment to overcommunication in our fully remote environment.
• Proven ability to prioritize tasks and manage time effectively.

• This role is full-time and will need to overlap with US Eastern time.
