ACCOUNTS CLERK
Department of Facilities Management
(1-year contractual position)
DUTIES
The successful applicant will be required to perform bookkeeping and related clerical duties under the direction of the Financial Operations Officer and to provide account related support services to the management team within Facilities Management and the office of the AVP Facilities. Duties include processing departmental purchasing documents and maintaining related files; preparing and/or batching information related to the commitment of funds; receiving and reviewing delivery/completion notifications and invoices; preparing accounts payable batches; monitoring outstanding commitments on a monthly basis; coordinating resolution of outstanding purchases with departmental sections and/or suppliers; reconciling monthly statements of accounts and related reports; monitoring approved budgets for capital projects and acting as liaison with project leaders to track committed and uncommitted expenses; compiling related monthly reports; preparing journal entries for the distribution of expenses on a regular and project basis; collecting and compiling information related to expense distributions; developing cost distribution formulae; preparing regular and project reports and account reconciliation/analysis; preparing regular and project invoices for services provided to external agencies to ensure that expenses are in compliance with related billing and cost sharing agreements; preparing analysis of cost versus recovery ratios; monitoring related cash receipts; identifying work flow issues; recommending related improvements; establishing standard and complex spreadsheets; and performing other related duties as required.
QUALIFICATIONS
Experience (1-3 years) in bookkeeping and related clerical work; graduation from high school, supplemented by completion of a two-year accounting program from an institution of technology or trades school; or any equivalent combination of experience and training. Experience in a high volume working environment and knowledge of Microsoft Excel and Banner Finance, would be considered assets.
SALARY $38,864 – $54,498 per annum (NAPE Local 7801)
