We are looking for an Executive Assistant based in Calrgary, Canada. The Executive Assistant acts as a seamless extension of the Regional Managing Director, serving as a partner to the company’s EPC teams. Fostering a positive environment with composure as well as showcasing flexibility and willingness to change directions as priorities shift is imperative.

What Will You Focus On

• Support the leadership team in planning and scheduling meetings across many different time zones
• Assist others in the organization with document preparation or meetings that require the input of the Regional Managing Director, including signatures and approvals
• Learn and identify enterprise-wide priorities to help the executive leadership manage and maximize their time. Proactively resolve scheduling conflicts
• Develop and update the global annual calendar of key activities and deliverables and help keep up the rhythm of the business
• Maintain secure, digital/physical filing of key documentation for the executive team
• Effectively manage the annual board calendar
• Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications
• Support Regional Managing Director with both professional and personal activities like cultural initiatives, client management, and other functional admin tasks
• React with appropriate urgency to situations that require quick turnaround

What We Are Looking For

• 5+ years of experience as an Executive Assistant
• Experience with executive-level calendar management
• High level of integrity and discretion in handling confidential information
• Exceptional verbal and written communication in English
• Experience with domestic and/or international travel coordination
