ML6 Search + Talent Advisory Looking for Estate Manager at Muskoka, Ontario, Canada Full Time

The Opportunity:

ML6 is delighted to announce its collaboration with a family office in their search for an Estate Manager for a ultra-high-net-worth Muskoka area estate. The appointed Estate Manager will play a proactive role in overseeing all facets of the estate, including property maintenance and renovations, efficient communication with contractors and service providers, supervision of household staff, event coordination, financial management of household expenses, and provision of concierge services.

What You’ll Be Doing:

• Oversight of the family’s collection of new builds, recently renovated, and existing properties on their Muskoka Estate.
• Development and implementation of protocols to enhance the efficiency of the Estate portfolio, involving the creation of SOP manuals, systems, inventories, schedules, etc.
• Proactive establishment, maintenance, implementation, and administration of schedules for monthly, seasonal, and annual maintenance, both interior and exterior, addressing all maintenance concerns promptly.
• Supervision of all construction, renovation, systems upgrades, and landscaping projects.
• Coordination, negotiation, and supervision of contractors and vendors
• Ensuring the implementation of security measures and protocols to maintain the estate’s security continuously.
• Establishment and upkeep of exceptional service standards.
• Recruitment, onboarding, management, development, retention, and training of staff.
• Strategic scheduling of assignments, projects, and estate staff aligned with the events, principal and/or guest presence.
• Planning and execution of special events, including necessary service arrangements, housekeeping coverage, catering (as required), reservations, and other requests.
• Approval and administration of purchase orders, invoices, time sheets, charge accounts, expenses, and other relevant reports and documentation.
• Budgeting and monitoring of property expenses, with the preparation of monthly expense reports.
• Management of valuables, including automobiles, boats, artwork, etc.
• Leadership in handling ad-hoc tasks, projects, and assignments, as directed by the Principal.

What You’ll Need to Be Successful:

• Prior background as an Estate Manager catering to an UHNW principal and/or equivalent experience.
• Demonstrated high self-motivation and engagement, driven by a passion for excellence and a commitment to continuous improvement.
• Strong people management experience.
• Tactical proficiency in HVAC, security systems, and general maintenance is required.
• Knowledge of local vendors, contractors, and trades a valuable asset.
• Demonstrated ownership, accountability, and a team-oriented approach
• Flexibility with work schedules, particularly for occasional events.
• Strong multitasking ability with excellent time management.
