Talent Management System Specialist
Reporting to the Director, People and Organization Development, the Talent System Specialist is actively engaged in strategic and operational planning of system utilization/enhancements along with process improvements, while developing tools, templates and training in partnership with key College Divisions, to support College Wide priorities and indicated needs. Utilizing broad human resources knowledge and expertise in data analysis and reporting, resolves complex Cornerstone related issues, and develops and analyzes reports to assist with business and strategic planning. The role is expected to work autonomously on special projects that are diverse and complex in scope, connecting with relevant stakeholders as necessary.
The incumbent will be responsible for active project management, project oversight, guiding stakeholders throughout the life cycle of the project and for the planning, execution and completion of assigned Cornerstone projects and initiatives. The role will ensure that effective communication and change management practices are applied to all projects.
The incumbent manages system modifications by liaising with the College’s IT department and HR and is accountable for Cornerstone system security in accordance with the College’s IT Acceptable Use Policy.
This role develops documentation in the way of process guides, learning guides and delivers training to College employees for new or updated Cornerstone system/processes as necessary, as well as provides technical support to the College Community.
RESPONSIBILITIES:
The duties of this position will include, but are not limited to the following:
Project Development & Management
Drive Long term planning through road mapping and project plans.
Create project plans to implement solutions to optimize the use of the Cornerstone platform, in an agile and collaborative manner.
Manage project life cycle, relationship with key stakeholders, project steering committee and project team members.
Lead project meetings and monitor project budget as outlined in contract or included in budget planning, as appropriate.
Actively participate in Cornerstone User Group as a way to support ongoing projects, system trouble shooting and enhancements.
Lead the HR Cornerstone Committee Meetings to drive accountability related to ongoing and future projects.
Process Analysis, System Optimization & Continuous Improvement
Proactively Identifies, researches and investigates opportunities to enhance Cornerstone processes; examines workflow to improve the effectiveness of various College Wide procedures while leveraging the system; analyzes and evaluates ongoing needs to identify areas where adjustments/improvements are needed and works towards system optimization and solutions.
Evaluates impact of HR processes, policies and procedures; researches and recommends changes as appropriate; examines the impact of data on human resources planning.
Partners with HR and other key College stakeholders (e.g., Finance, IT) to transform administrative operations to provide excellent customer service through the creation and dissemination of efficient and effective business processes, systems and workflow.
Engage with Module owners to identify and highlight releases and current or relevant business priorities to further enhance system functionalities and College Wide Strategy.
Reporting
Develops reports and queries for both internal and external bodies to the College as required to meet the strategic needs of HR.
Liaise with workforce analyst to secure relevant data from supporting systems.
Responsible for the development and analysis of both regular and ad hoc queries of data in Cornerstone in support of both the operational and strategic needs of HR.
Responds to requests for HR data and reports in a timely manner’ collects, monitors and analyzes statistics; prepares and presents reports; conducts testing and audits to ensure integrity of reports.
Analyzes and leverages data into coherent reports and impactful presentations to support leadership decision making.
Anticipates data discrepancies and intercepts as appropriate to avoid negative impact to employee records; implements error checking methods ensuring integrity of data.
Analyzes key HR data and works alongside the department and leaders to provide recommendations for strategic solutions.
Customer Service, System Support and Training
Manages resolution of complex and/or confidential inquiries/requests that have escalated beyond first-level support within Cornerstone; identifies and partners with appropriate internal resources to resolve client issues.
Leverages human resources and institutional knowledge to continuously improve service and support.
Provides strategic and operational direction in the development and implementation of major HR systems programs and projects.
Train and facilitate on new or improved system functionality.
Present updates and or executive summaries to leaders within the college.
Produce quality training material and guides or training modules.
Other duties as assigned
QUALIFICATIONS:
The successful applicant must have:
A three year degree/diploma in business administration, human resources, learning and development, or related discipline or equivalent combination of education and experiences.
CHRP designation is an asset.
Certified Training and Development Professional (CTDP) and/or Certified Training Practitioner (CTP), is an asset.
A minimum of five years of experience working in a similar capacity.
Demonstrated experience managing multiple projects, preferably in a unionized multi-site environment.
Demonstrated experience working with all groups and levels within an organization, ideally in a unionized, multi-site environment.
Familiarity with a Learning Management System, Applicant Tracking System, Performance Management System and Succession Planning Frameworks.
Experience in developing system related training resources along with strong facilitation skills.
Experience or familiarity any Talent Management or Learning Management System.
Excellent time and project management skills.
Highly developed analytical skills
Demonstrated experience in both an HR generalist capacity, human resources systems and/or people leadership.
Strong problem solving and negotiation skills.
Exceptional interpersonal and communication skills (verbal and written) and a high degree of professionalism to deal with highly sensitive and confidential matters and situations.
Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively inter-culturally with diverse groups of students, employees and the community.
