HYBRID MODEL ROLE 3 DAYS in OFFICE (3381 Steeles Avenue, Toronto, Ontario)
The HR Administrator will be responsible for delivering a comprehensive HR administrative and general advisory service for all employees in Canada. The role will be fully responsible for the end-to-end employee lifecycle documentation and authorisation, in line with Company Policy and Guidance.
The HR Administrator will handle core HR data updates within the HR systems, Workday & ServiceNow. The HR Administrator will need to collaborate closely with the wider HR function to ensure a smooth and efficient HR service is delivered.
In accordance with any Service Level Agreements, KPIs and any other specified ways of working this role will:
Produce standard and non-standard correspondence e.g., letters, offers of employment, contract, (including promotion, appointment, secondment, redundancy, settlements, relocation, family leave), absence, etc
Take ownership for the HR systems ensuring all relevant changes are made and payroll deadlines are met. This includes the processing of all starters and leavers, and changes in employment, absence management, running reports etc.
Ensure relevant notifications issued to key stakeholders in the business
Maintain efficient filing systems aligned to GDPR, ensuring individual personnel files are always up to date and compliant.
Provide full first line support, advice coaching and guidance where required e.g. recruitment and selection company policy.
Collaborate with the wider HR function to update and maintain Company documentation
Assist employees where needed regarding policies and procedures.
Responsible for managing the new starter and leaver process. e.g. Ensuring all paperwork & training is in place, sending notifications to key stakeholders, organising, and conducting inductions etc.
Responsible for processing and recording all HR related invoices and maintenance of all employee records
Contribute to wider HR projects as required
Point of contact for all HR-related questions and queries via HR Systems, email or telephone
Administers the Learning Management System by loading and assigning training courses, creating and running reports, troubleshooting errors, and supporting the testing of upgrades or changes to the system, to ensure the company maintains employee training compliance
Maintains the HR portal on the company Intranet by uploading announcements, documents, and performing regular maintenance to ensure employees have access to updated and relevant HR-related information
Manages all contracts, purchase orders, and invoices associated with HR programs and vendors
Coordinates with and receives guidance from Global Centres of Excellence (COE) to ensure implementation of local programs and initiatives are supported and aligned with the initiatives of the COEs and the organizational objectives
Exit interviews, involvement in recruitment activities such as initial interviews
Social Committee member and involved in other engagement activities.
Administers various company benefit programs, such as group health benefits and executive benefits. Responsibilities include processing member additions and changes, completion of program enrollment document and providing guidance to employees with benefit questions
Administers all leave of absence programs, workplace accommodation requests and disability claims including WSIB by collaborating with other staff, third-party agencies and insurers to ensure effective claims management and appropriate programs are implemented
Create and maintain up-to-date job descriptions for existing and new positions
Administers the employee Total Rewards package by participating in compensation planning (including the annual bonus and merit planning process) with direction and partnership from the Total Rewards COE
With direction from the Total Rewards COE, implement and deliver local Rewards & Recognition programs. Maintain regular feedback response through ongoing analysis of success measures and program utilization
