Responsibilities:
Extract all required submittals, maintenance, and warranty documentation from specifications and enter it into an excel table.
Manages schedules, arranges assignments, prepares action plans, analyzes risks/opportunities, gathers necessary resources, and communicates progress to team members
Create a draft maintenance manual based on specifications.
At project closeout, fill “Warranty Documents Needed Table” with the Project Manager.
Contact subcontractors for warranty documents acquisitions.
At project closeout, enter all relevant files into “Draft Maintenance Manual” and chase missing documents with the Project Manager/subcontractors and review change orders and create as-built drawings.
Use Timberscan invoices to list all subcontractors and suppliers used on the project.
Create and distribute RFIs, Submittals, Meeting Minutes, and Change Requests.
Manage the process of change orders.
Review, edit, print, and save purchase orders and subcontract change orders.
Create and distribute notices to residents of the sites.
Create and distribute bi-weekly construction updates.
Create Project Performance Reports. Ensure action items are complete before the next meeting.
Update construction schedule as directed by the scheduler.
Review of core TimberScan functions and invoice approval.
Review of Time & Material processes, Change Directives, and Supplemental Instructions.
Order materials as requested, follow up with supplier and Jobsite to make sure materials were received

Requirements:
At least 2 years of experience as administrative coordinator in construction
Experience in Building Envelope Maintenance Projects is an advantage
Familiarity in the Construction Industry
Familiarity with Timberscan is preferred.
Excellent communication and servant leadership skills
Problem-solving and conflict-resolution ability
Excellent organizational and execution skills
