Position Overview
The Student Service Manager is responsible for the effective and efficient management of all student services support for the Niagara College Student Administrative Council (NCSAC). The Student Services Manager will act as a support to the NCSAC Board of Directors and facilitate the effective execution of NCSAC Student Services.
Reporting Relationship(s)
The Student Services Manager will report directly to the Executive Director. The Student Services Manager will be the direct supervisor to the NCSAC Student Services Coordinator, the Event Programmer and the Student Services Assistants at two campuses.
Essential Job Functions
Office/Administrative Duties
1.1 Book meeting rooms and boardrooms for campus student clubs, student groups, college parties, and external parties.
1.2 Order office supplies as required.
1.3 Obtain quotes and order office equipment as required
1.4 Develop phone and email lists for NCSAC staff and board members.
1.5 Provide coverage at the front desk as required.
Services
2.1 Manage the NCSAC Services portfolio.
2.2 Amend and adjust the NCSAC’s service offering as needed in order to best serve the students of Niagara College.
2.3 Evaluate services annually and make recommendations on retiring outdated services.
2.4 Investigate new services to best serve the students of Niagara College.
2.5 Prepare Request for Information and Request for Proposal documents for services.
2.6 Oversee the administration of the Niagara College Student Benefits Plan.
2.7 Oversee the Student Clubs portfolio at NCSAC.
Health and Safety
3.1 Lead the NCSAC Health and Safety team.
3.2 Arrange Health and Safety Training modules for all NCSAC staff.
3.3 Work with the NCSAC Executive Director to ensure NCSAC’s compliance with WSIB initiatives.
Human Resources
4.1 Hire, train and oversee the Student Services Coordinator, Event Programmer and Student Services Assistants.
4.2 Complete payroll documentation for the department.
4.3 Approve vacation/time off requests for staff within the department.
4.4 Work with the Student Services Coordinator hiring Student Club Coordinators.
Financial
5.1 Prepare deposits for 2 campuses.
5.2 Collect funds for all sales and reconcile cash registers.
5.3 Reconcile all club receipts and process cheque requisitions to Finance Manager.
5.4 Prepare, safeguard, and reconcile petty cash floats in conjunction with the Finance Manager.
5.5 Submit and reconcile invoices as required.
5.6 Program registers for event and excursion tickets.
5.7 Reconcile monthly corporate credit card statement.
5.8 Prepare annual services budget.
Logistics
6.1 Handle all NCSAC office requests to Facilities Management Services and assist with IT requests as required.
6.2 Handle all College booking needs (meeting rooms, cafeteria, commons, etc.) for NSCAC.
Miscellaneous
7.1 Understand and abide by the NCSAC constitution, by-laws, policies, procedures and employee manual.
7.2 Perform other duties as required to support and foster growth in the Corporation.
7.3 Maintain and act in accordance with the NCSAC’s privacy policy.
Ideal Candidate
