RESPONSIBILITIES:
o Supports the annual reappointment of all NH Professional Staff which includes physicians, dentists and midwives
o Review and process applications for new appointments on behalf of the department Chiefs and ensuring appropriate documentation is obtained in keeping with the Professional Staff By-Laws, the Rules and Regulations for the Professional Staff and the Ontario Public Hospital Act.
o Review and process applications for temporary assisting or observation.
o Process updates to credentialing data system.
o Coordinate the review process for professional staff categories.
o Organize and maintain confidential files for professional staff in adherence to corporate guidelines
o Ensure accurate monthly reporting of physician on-call schedules
o Support Department Chiefs with timely implementation of performance reviews for Active and Associate Professional Staff
o Ensure effective orientation and onboarding of new Professional Staff, as well as timely off-boarding of Professional Staff
o Draft and distribute letters confirming Board of Directors appointments to Professional Staff
o General administrative support to the Medical Affairs Department
QUALIFICATIONS:
o Completion of a Community College diploma specializing in Office Administration or equivalent.
o Minimum three years’ experience in an administrative role, preferably in the Health Care Industry
o Demonstrated computer proficiency in word processing, spreadsheets and database systems (Windows, Word, Excel, Access, PowerPoint)
o Demonstrated ability to work with confidential information.
o Demonstrated excellence in verbal and written communication.
o Demonstrated skill in being detail oriented and adhering to strict timelines
o Effective problem-solving abilities.
o Demonstrated ability to: take minutes; respond positively to change; work on own initiative; organize and set priorities; organize and develop systems which create efficient work flow; meet stringent project and task deadlines; and work effectively in a team environment.
SKILLS:
o Processing of atypical applications to meet required deadlines while aligning to Professional Staff By-laws
o Ability to assess, understand and resolve issues and problems within scope of authority, escalating when necessary.
o Strong work ethic
o Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption based on medical or on a ground pursuant to the Ontario Human Rights Code
