Position Summary:
Reporting to the Director of Planning, the Executive Assistant provides comprehensive day to day administrative support to the NOHT –ESON Planning Table and various working groups comprised of a broad range of healthcare, community support sector, patient/family/client/caregiver members and social services providers.
NOHT-ESON is looking for a self-motivated, highly organized individual who has proven experience in providing operational and administrative support in a multi-disciplinary and complex team environment. To ensure efficient and effective operations within the NOHT-ESON, the Executive Assistant will demonstrate strong critical thinking ability and initiative while providing support through a variety of administrative functions. Most importantly, the successful candidate must be able to be pro-active and anticipate upcoming needs while managing multiple priorities and projects.
Duties and Responsibilities
Ensure inclusion of lived experience, Indigenous and Francophone voices and experiences are identified and expressed in all work.
– Provides executive administrative support to the NOHT-ESON Planning Table through a continuum of activities including by not limited to liaising with the members of the Planning Table or various other parties interacting with the NOHT-ESON to provide information and strategic guidance, administrative support for the effective execution of meetings, document control/management, preparation and coordination of information for members, and logistics for all meetings of the Planning Table.
– May be required to provide administrative support to working groups including coordinating events, meetings and conference calls between working group members (including coordination of member calendars), and sourcing information or supports needed to achieve workplan targets.
– Acts as the NOHT-ESON first point of contact for patient, family, caregiver and community contacts, managing e-mails, correspondence, and incoming communications, and using judgement, responding appropriately and or forwarding to the appropriate party for follow up.
– Prepares, composes, proofreads and edits materials as required.
– Anticipates and initiates action to meet the needs of the Planning Table and it’s working groups.
– Organizes and maintains NOHT-ESON project tracking tools and databases electronically; Orients NOHT-ESON members to the electronic filing systems as needed.
– Ensure the effective and timely flow of information to and from NOHT-ESON members.
– Initiates, plans and assists with ad hoc and or special projects.
– Maintains a high degree of professionalism, discretion and confidentiality.
– Establishes and maintains an effective working relationship with the NOHT-ESON Planning Table members and external partners/stakeholders.
– Provides guidance and acts as resource on general administrative matters.
– Other administrative duties as assigned.
