Northeastern University Looking for Administrative Coordinator at Toronto, Ontario, Canada Full Time

Northeastern University is searching for an Administrative Coordinator for the Toronto Campus.

Qualifications

• Bachelor’s degree required.
• Minimum of three years related administrative experience with a demonstration of increasing responsibilities.
• Effective time management, highly organized, and detail oriented.
• Exceptional multitasking, organizational, and communication skills.
• Superior communication, planning, and customer (internal and external) service skills.
• Demonstrated integrity, dependability, judgment, teambuilding and resourcefulness to establish and maintain collaborative working relationships with multiple groups.
• Must be able to maintain a high level of confidentiality.
• Previous experience working with budgets and financial reporting systems preferred.
• Must have excellent computer and professional skills with proficiency in Microsoft Word, PowerPoint, Outlook, and database management. Excellent Excel skills preferred.
• Experience in higher education preferred.

Key Responsibilities & Accountabilities

Percent of Time : 65%

Administrative and Operational Support

• Manage and coordinate multiple demands for the Dean/CEO and Associate Dean’s time by prioritizing requests and demonstrating significant independent judgment in identifying and resolving potential conflicts.
• Organize and execute a large volume of administrative tasks for the Dean/CEO and the campus leadership team, including but not limited to:
• Scheduling meetings, organizing travel plans and arrangements, monthly expense reconciliations, visitor planning & logistics, event support, agenda preparation, minute taking etc.
• Support new staff onboarding and training sessions.
• Assist with projects or research to support the campus leadership team members for key events, meetings, or initiatives (as assigned).

Record and Data Management

Percent of Time :20%

• Oversees the regular maintenance, upkeep and evolution of the Toronto Campus SharePoint Site (including all documents hosted on the site, e.g., Org Chart, Onboarding Information, Team pages etc.)
• Supports the management of campus data (e.g., events data) and preparation of data-based dashboards.
• Coordinates and manages Dean’s office and leadership team record management.

Finance Support

Percent of Time :10%

• Reconcile monthly finance reports to flag unexpected expenses and new trends; follow up with leadership team and stakeholders (as needed) to verify such charges.
• Manage payment of invoices, POs, and reimbursements as well as processes related to contracts.
• Manage memberships and subscriptions for the Dean’s Office.
• Pull financial reports as needed.
