Essential Duties and Responsibilities:
The Coordinator, Finance & Administration, will provide essential bookkeeping and reporting functions for the Ontario Home Builders’ Association (OHBA). This role supports both the provincial organization and local association chapters that have requested back-office support. The Coordinator will use a cloud-based financial accounting system to maintain OHBA’s and local chapters’ accounting records, issue invoices, reconcile revenue reports, conduct financial analysis, collect outstanding accounts receivable, issue membership dues renewal invoices, and respond to inquiries about accounting records.
Key Responsibilities:
1. Bookkeeping and Accounting:
Maintain OHBA’s and local chapters’ accounting records using a cloud-based financial accounting system.
Issue invoices and reconcile revenue reports.
Conduct financial analysis and provide status reports to the COO and local chapter staff.
Collect outstanding accounts receivable and issue membership dues renewal invoices.
Prepare monthly and year-end financial reports in accordance with generally accepted accounting principles (GAAP).
2. Customer Service and Communication:
Respond to inquiries about the status of accounting records from the COO and local chapter staff.
Provide high-quality customer service to internal and external stakeholders.
Communicate effectively electronically and as part of virtual meetings.
3. Financial Management:
Ensure the accuracy and integrity of financial records.
Manage time effectively to meet deadlines and maintain organized records.
Implement and follow best practices in bookkeeping and financial management.
Education and/or Work Experience Requirements:
Minimum of 5 years of experience in bookkeeping, preferably in a not-for-profit accounting environment.
Proficiency in QuickBooks or equivalent accounting/bookkeeping software.
Strong understanding of generally accepted accounting principles (GAAP).
Ability to prepare monthly and year-end financial reports.
Experience in collecting outstanding accounts receivable.
Strong computer skills, including Microsoft 365.
Excellent organizational skills and attention to detail.
Ability to work independently and manage time effectively.
Strong customer service skills and ability to communicate effectively both electronically and in virtual meetings.
Physical Requirements:
Ability to work in a professional office setting, including on-site and work-from-home as provided for in policy
Ability to maintain regular, punctual attendance
Must be able to travel as required as part of carrying out the duties of the position
