The Job!
Reporting to the Director of Events Management, you are an essential part of the Events team. Your responsibilities will span event management and coordination, customer service, and administrative tasks. You will:
- Support the Events team in all event-related matters.
- Assist with event logistics include planning, set-up, and on-site coordination.
- Manage event registration and attendance, providing updates on relevant metrics.
- Coordinate audio-visual (AV) requirements for event speakers/participants.
- Track event attendance, gather feedback from speaker and attendees, and report findings.
- Ensure accurate tracking and processing of invoices.
- Suggest improvements for more cost-effective opportunities or activities.
- Manage internal and external communications regarding events.
- Promote the organization’s events and products.
- Participate in events as a representative of the organization.
- Assist event attendees with inquiries or general support with professionalism.
- Monitor event activities and ensure smooth operations, providing assistance as needed.
- Update the event calendar, coordinate meetings, and prepare appropriate meeting materials.
- Manage documents including contracts, agendas, letters, etc.
- Other tasks as assigned.
What you bring to the job
You are passionate about event planning and ensuring everyone has a positive experience. You are hardworking, efficient, and proactive, and determined to successfully take projects from beginning to end. You also have the following qualities:
- Post-secondary education in hospitality and/or event management.
- At least 1 year of experience in event administration and project management.
- Experience with coordinating both in-person and virtual professional events.
- Fluency in both English and French at a native or bilingual level.
- Sharp attention to detail and high-level organizational skills.
- Strong professional communication skills, both written and verbal.
- A results-driven and service-oriented mindset.
- Able to work independently and collaboratively within a group.
- Proficiency with Microsoft Office applications and CRM systems.
