Job Overview
The HR Partner will work under the direction of our client’s Fractional HR Coordinator to facilitate all HR functions and programs for the company’s partners. In this role, you will be involved in performing tasks with a focus on growing our client’s talent pool and improving sourcing tactics by coordinating recruiting, interviewing, hiring, and onboarding new partners. In this role, you will also be responsible for entering and maintaining partner records and providing administrative support as required. You will support the bi-annual performance review process in the Trakstar system, partner leave calculations when a team member is terminated or at year end, and many other programs including the list below.
As the HR Partner your main objective is to promote a happy, healthy, and safe environment where team members are excited to come to work and work together. You have a responsibility to build trust with everyone and follow, as well as enforce, the company’s Cultural Guidelines. At our client’s company, they call their employees partners, their supervisors mentors and their managers coordinating partners or coordinators.
Responsibilities and Duties
● Fosters positive partner relations and work to solve any partner issues as they surface.
● Serves as the first point of contact for all new and existing partner HR questions and requests.
● Interprets, follows, and promotes our client’s “Cultural Guide”.
● Abides by company-enforced HR processes and current employment laws and regulations.
● Administratively supports all HR Programs as directed by the Fractional HR Coordinator.
● Coordinates and oversees the implementation of our client’s performance management review system (Trakstar) on a bi-annual basis and assists mentors & coordinating partners in performance management procedures.
● Maintains and updates the company organizational charts on a per pay period basis.
● Maintains and updates the company headcount reports.
● Is able to answer partner related questions quickly and effectively. The HR Partner knows where everything is and has all (accurate) partner data at their fingertips at all times.
● Supports any reporting and data analysis requirements as it pertains to the annual bonus and compensation review process.
● Ensures vacation and sick time are properly tracked in the ADP system and calculates all partner balances for carry over into the new year (where approved).
● Administers and calculates the leave balances in ADP for all new hires and terminations.
● Is responsible to report leave balance information to the external payroll department when a partner is terminated.
● Responsible for sending and tracking all payroll requests to the external payroll department on a semi-monthly basis.
● Handles all partner events such as birthdays (cake once a month) and the annual holiday party.
● Facilitates the onboarding process for new partners including orientation of the facility and introductions to existing partners.
● Participates in and assists on the Health & Safety Committee to administer partner health and safety plans and educate partners on company policies.
● Handles all reporting to WSIB as well as is the acting liaison between the injured worker and the employer. Is well versed with privacy legislation in Ontario and how it pertains to medical leaves.
● Acts as a liaison between our client’s partners and insurance providers (Beneplan) and assists in resolving benefits-related problems.
● Administers all of our client’s partner health benefits. Acts as the Subject Matter Expert internally for any partner questions related to the administration of our programs.
● Takes meeting minutes at the Partner’s Committee meetings and actions all items from each meeting. Has an update prepared for each line item prior to the next meeting.
● Prepares all paperwork for the approval of the fractional HR Coordinator.
● Uses Docusign to send through approved paperwork to the Managing Partner for signature.
● Administers our client’s partner discount programs that are currently in place. Acts as a first point of contact for related vendors. Sources and engages new vendors for the program if requested.
● Prepares memos, job descriptions, interview questions, position postings and company announcements.
● Prepares all partner letters, employment agreements, increase and promotion letters, change letters as requested by the Fractional HR Coordinator.
● Prepares the new hire package for all new hires.
● Preparing new partner files, collecting all relevant partner information, and ensuring all new hire documentation is complete and filed in a timely and organized manner.
● Posts internal and external position openings and organizes resumes and job applications of potential candidates for the assessment of department coordinating partners and/or supervisors.
● Facilitates the PrevueHR Assessment tool for existing partners and candidates. Handles any benchmark profile requirements as requested.
● Completes all reference checks for every new hire prior to preparing an offer letter for approval.
● Develops and maintains relationships with college and university placement offices.
● Coordinates with team coordinating partners and mentors to assess the training needs of their team and provide assistance in finding or developing programs that match these needs.
● Schedules seminars with vendors or the fractional HR coordinator if requested.
● Handles all requests related to scheduling meetings or interviews with the partners, mentors, coordinating partners, fractional coordinators or the managing partner.
● Executes all partner termination and offboarding procedures, including advising partners on any benefits they are entitled to.
● Maintains current HR files and databases updating and maintaining partner benefits, employment status, and similar records according to all retention requirements as set by our various regulators.
● Performs partner file checks on at least a quarterly basis to ensure that all required partner documentation is collected and maintained.
● Completes any audits or reconciliations as requested by the Fractional HR Coordinator.
● Reconciles the Benefits Billing to the active partner listing in ADP on a monthly basis.
● Assists in ad-hoc HR projects, like the collection of partner, coordinator or customer feedback.
● Works alongside employment agencies and search firms as required.
● Taking minutes of meetings as requested.
● Supports other HR functions as assigned.
Qualifications
● High school diploma or GED equivalent required.
● Bachelor’s degree or post graduate certificate in human resources or related field preferred.
● Passionate about staying on top of legislative changes, has a solid understanding of WSIB, Ontario Human Rights and Ontario Employment Standards rules (provincially regulated employer).
● Obtained or working towards CHRP designation.
● 2+ years of relevant experience in HR Administration.
● Strong skills using Microsoft Office and Google Suite.
● Experience using HR software and HRIS databases such as ADP or Trakstar.
● In-depth understanding of sourcing tools, like resume databases and online communities.
● Familiarity with social media recruiting.
● Willing to take initiative and work independently when needed.
● Reliable with a personable and positive demeanor. Enjoys working with a diverse range of individuals and ensures partner requirements and needs are met first.
