Compensation

• $20 – $27 per hour, negotiable based on experience

Role Overview

We are currently recruiting a full-time People and Culture Coordinator. Reporting to the Director of People and Culture, the People and Culture Coordinator organizes and coordinates the day-to-day HR and administrative needs of the BC branch office. This role also provides coordination and administrative support to the operations and field staff as required.

This role wears multiple hats and is experienced in handling a wide range of Coordination and administrative-related tasks often working independently with little supervision.

Responsibilities/Duties:

People and Culture

Talent Acquisition

• Assist with job posting creation and posting as required
• Source candidates as required
• Set up interviews
• Perform reference checks
• Send and receive new hire/rehire paperwork – data entry in BambooHR & Jonas
• Update and clean up records, templates, and documents
• Termination forms as required – send, receive, and update employee record

Training

• Research and source training providers
• Book and pay for training, receiving invoices and coding in concur
• Update BambooHR “Custom Training tab” and upload certifications
• Pull custom training reports as requested
• Apply for and monitor Canada job Grant applications
• Organize in-house training

Miscellaneous HR Tasks

• Deal with BC employee inquiries/concerns, directing calls to the right person and/or escalating when required.
• Assist managers with performance reviews.
• Communicate BC HR information i.e., memos, promotions, career opportunities, resignations, new additions, etc.

Reception/Administration – Additional Task – May Be Required.

• Answer phones, take messages, check voice mail, update company directory
• Receive and sign for packages ensuring they get to the intended recipient
• Arrange packages and couriers
• Draft letters, forms, memos, and other documents
• Pick up, organize, and distribute mail
• Order/pick up office and field supplies as required
• Ensure fridges are stocked with beverages
• Pick up and make coffee
• Keep office clean and looking presentable
• Order office supplies, replenish as needed
• Book flights and other forms of transportation
• Book hotels
• Enter receipts into Concur, ensuring job costing is correct
• Assist employees with timesheet entry as required
• Help organize company events – book, set up and take down, manage catering, set up presentations, etc.
• Book meetings, keep meeting minutes
• Order food for office lunches, get-togethers, etc.

Project Administration:

• Provide valuable administrative assistance to project managers and project teams.
• Assist with staff housing as needed.
• Prepare, manage, and organize project documents, reports, and presentations.
• Assist in the submission of biweekly site timesheets, ensuring they are accurate and complete.

Educational/Experience Requirements

• Diploma in Human Resources, administration or business is considered a desired asset
• 5+ years of experience managing a diverse and busy small to medium size office.
• Experience working in the construction industry is considered an asset.
• Proven office management, administrative or executive assistant experience required.
