Paul Davis GTA West Group began over 35 years ago and comprises four individual franchise areas Etobicoke, Mississauga, Brampton, and Halton/Hamilton managed under one central leadership team. PD GTA West Group leverages the collective resources of four geographically located offices. Thus giving capacity to quickly and competently respond to geographical volumes with Project Management teams that have the experience to deliver on a full range of projects expertly and cost effectively.
We are currently looking for candidates for Project Coordinator. This position can be based at any of our locations: Etobicoke, Brampton, Mississauga, Burlington.
A Project Coordinator reports to the Manager of Project Coordinators and provides administrative support within a Project Management Team.
Responsibilities:
- Appreciate and understand the PAUL DAVIS GTA WEST GROUP brand and be its champion
- Understand all Service Level Agreements (SLAs) and ensuring service delivery compliance
- Keep all RMS (Restoration Management Systems) and Xactanalysis files current
- Accept responsibility for the achievement of a high Net Promoter Score (NPS)
- Participate in the generation of trade purchase orders as well as Technician Job Reports (TJRs)
- Establish job schedules in conjunction with the Project Manager
- Ensure work delivered by all trades is compliant with work orders and purchase orders
- Serve as an early warning system on emerging service delivery problems
- Prepare accurate invoice instructions for Accounting
- Ensure Accounts Receivable is settled within company timelines
- Submit preparation for monthly and annual job closings
- Communicate with homeowners and adjusters on behalf of the Project Manager as required
- Complete Emergency and Building estimates on behalf of the Project Manager as required
- Schedule the Project Manager’s appointments as required
Skills/Knowledge/Abilities:
The ideal candidate is personable and patient, possesses a sense of urgency and can think on their feet. A demonstrated background in administrative work, project coordination or complex customer service is required.

- Able to effectively prioritize on a daily, weekly and monthly basis
- Strong verbal communication
- Comfortable dealing with numbers such as margins and job costs
- Focused on team goals
- Understanding of the insurance, restoration and/or construction industry is an asset
