The Secretary, Clinical Trials (CT) performs a variety of administrative, clerical, and secretarial duties to support the Clinical Trials Team.
What you’ll do
Type and prepare a variety of technical and non-technical material such as correspondence, memorandums and reports utilizing a variety of computer software programs for word processing, spreadsheets and databases by performing duties such as creating files, setting up and maintaining tables, spreadsheets and databases as well as designing forms for departmental use.
Schedule appointments and meetings for CT Team, Investigators, Pharmaceutical monitors and NCICNCI auditors by performing such duties as determining the urgency of the request and booking meeting room(s), contacting attendees, developing agendas with input, typing and circulating agenda(s), organizing refreshments and arranging audio-visual equipments. Take, transcribe and distribute minutes.
Under the direction of a member of the Clinical Trial Team or Medical investigator complete a variety of time sensitive and confidential tasksdocuments such as CT agreements cirriculum vitaes, REB submissions and follow-up, request for grant accounts, updated consent distribution, Serious Adverse Event (SAEs) forwarding by performing duties such as typing, formatting, editing and faxingemailing contracts and documentation for approval by Regional Administrator or Medical Head.
Provide support to the CT Team and the Regional Administrator by performing duties such as obtaining signature for CT contracts from the Regional Administrator and/or Medical Head and Principle Investigator and forwarding to sponsor within established timelines, and receiving documentation such as Serious Adverse Effects (SAE) and Revised Consent forms and notifying appropriate member of CT team.
Arrange meetings as directed by performing duties such as booking meetings rooms, contacting attendees and arranging for audio/video equipment as required. Takes minute, transcribe, and distribute to staff.
Request, file and/or distributes a variety of documents and material related to diagnostic andor laboratory tests.
Request, file, update and distribute study information and documents as directed or per study protocol such as approval certificates and study adverse event acknowledgements. Distribute study protocols to the Clinical Trials Committee and consent forms, including updates, as directed.
Set up and maintains a variety of filing systems such as study binders and Principle InvestigatorClinical Trial staff Curriculum Vita.
Provide clerical web support for Clinical Trials by updating information using a web software program.
Maintain specific office supplies for Clinical Trial staff by completing and submitting requisition, and replenishing stock as requested.
Make travel and hotel arrangements reservations by performing duties such as booking travel and accommodation. Forward expense claims for authorization and processing.
Perform other related duties as assigned.
What you bring
Grade 12, graduation from a recognized secretarial program and three years recent related experience or an equivalent combination of education, training and experience.
Ability to keyboard at 60 w.p.m.
Ability to communicate effectively both verbally and in writing.
Ability to deal with others effectively.
Ability to organize work.
Physical ability to carry out the duties of the position.
Ability to operate related equipment.
