PIXOMONDO Looking for Executive Assitant at Toronto, Ontario, Canada Full Time

We are in the process of expanding our team and are looking for like-minded professionals who are excited to get in on the ground floor and explore new terrain as we establish a positive culture within the VFX community. Our PXO team continues to expand and explore the frontiers of tech in filmmaking, and we’re looking for you! We are looking for an Executive Assistant to work with our Head of Studio.

Day-to-Day, You’ll Accomplish:

• Ensure the smooth flow of the Head of Studio’s activities and be a key liaison to staff, suppliers, and clients
• With a high level of confidentiality, manage email and telephone correspondence, flagging important and actionable items, and drafting professional correspondence
• Manage the Head of Studio’s calendar, scheduling events and acting as the key point of contact for internal and external meeting requests. Assume full ownership and maintenance of the calendar
• Manage and coordinate key meetings: set up, prepare agenda, briefing notes, presentations, and reporting packages. Take meeting notes, and track the completion of action items.
• Implement and maintain procedures and administrative systems, workflow documentation and budgets
• Manage travel: arrange domestic and international travel, research and coordinate all travel related activities
• Event and project management: coordinate with other team members to plan internal and external events, and contribute to key operational projects
• Expenses and finance: file and track expense reports, and provide administrative support to financial activities as required

Your Track Record:

• 2+ years of customer service and/or administrative experience in a professional and fast-paced environment
• Detail-oriented and ability to prioritize and multi-task
• Highly professional telephone presence and strong customer service mindset
• Strong email and calendaring skills (Outlook proficiency preferred); proficiency in PowerPoint, Word and Excel; proficiency in Apple Keynote is a bonus
• Ability to anticipate and meet the needs of supported colleagues
• Inventive in problem solving and high tolerance for ambiguity
• Excellent professional standards, discernment and discretion when taking care of sensitive information
• Ability to establish relationships with internal and external stakeholders
• Excellent communication skills, both verbal and written
