Administrative Assistant, Transportation Operations and Maintenance
Public Works, Transportation
Status: Regular Full Time
Salary Range:$53,110 – $66,389 per annum plus comprehensive benefits, where applicable

Location: 10 Peel Centre Dr., Brampton, ON
Hours of work: 35 hours per week
Provides confidential, proactive administrative support services to the Strategist and management team while working collaboratively with the divisional management team to ensure a coordinated and cohesive approach to administrative matters.
What You Will Do In This Role
- Providing confidential office support services to the Strategist Supervisory Team and support staff of the Transportation Operations and Maintenance
- Logging, drafting and directing correspondence to staff, public, council and businesses including emails and letters
- Compiling agendas and producing minutes of team and networking meetings
- Scheduling meetings and maintaining computerized calendar for the Strategist, Manager and Supervisors;
- Updating and maintaining data in HRMS, EIM and Sharepoint
- Coordinating the acquisition of cell phones and sectional vehicles
- Preparing and completing journal entries for operating and capital cost centres
- Creating online requisitions for Purchasing; logging and processing invoices, preparing Request for Cheque forms
- Reconciliation of P-Cards, and visa statements, including investigating discrepancies when required and record
- Assessing needs and purchasing services and office supplies; assisting with budget monitoring as well as monitoring the team’s monthly financial statements;
- Processing business expense claims, depositing cash receipts and petty cash liason
- Processing receipts using Versatile
- Other Duties as assigned
What The Role Requires
- A minimum of three years progressive administrative support experience or an equivalent combination of experience and education
- Successful completion of a post secondary administrative or business studies program
- Strong customer service orientation
- Mathematical aptitude with demonstrated financial skills
- Working knowledge of website content management and online communities an asset
- Knowledge of Public works structure, programs and services would be an asset

- Strong time management and organizational abilities
- Excellent verbal and written communication skills
- Knowledge using Versatile software
- Demonstrated critical thinking skills
- Ability to deal with shifting priorities
- Ability to compile, organize and analyze information
- Ability to work independently with minimal direction and meet strict deadlines

Work Mode & Job Location: Hybrid* at 10 Peel Centre Dr., Brampton, ON
In this role you will have the ability to work remotely and attend on-site when required based on operational requirements at the 10 Peel Centre Dr., Brampton, ONworksite. The frequency of on-site activities may vary on a weekly basis and based on operational requirements. Your remote work location must be located within the province of Ontario.
Hours of Work: 35 hours per week
