As part of our expansion plans, we are currently seeking an experienced Office Administrator to support the Fox Canada head office, with primary responsibility to the GM to support with all administrative related tasks within the assigned Territory. This position will be based in our Head Office and reports directly to the GM.
Here’s what you’ll do:
Answer and direct office calls and ensure messages are delivered to the respective parties
Welcome and direct visitors to appropriate staff person or meeting room
Sort and coordinate incoming and outgoing mail and courier packages
Assist, as needed, with meeting preparations (preparing documents, spreadsheets, and communications as directed by the GM)
Compile, design, review and coordinate various materials for PowerPoint presentations
Maintain accurate inventory of Head Office and Store supplies and replenish as needed
Make travel arrangements, book flight and hotel reservations for Head Office
Review invoices, obtain required approvals, monitor balances, track payments, follow up on outstanding balances
Source suppliers; obtain quotes for services; review contracts with GM for approval
Document and update office processes/procedures – business continuity plan
Coordinate with Europe/Israel personal assistant/admins on international visits and agendas
Support HR and payroll with admin/data entry tasks; (schedule interviews, enter new hires into ADP & time and attendance system; track vacation; group insurance benefits administration; run reports; Health and Safety training coordination)
Provide new hire support by arranging for office keys/passes to the building and setting up work station with required equipment
Research and obtain employee corporate rates/discounts
Collaborate with Operations for maintenance needs and service issues as needed
Assist with employee raffles; training/meeting dates; and event planning
Other projects as assigned
Here’s what we’re looking for:
3+ years experience in similar role – preference in Strong time management, ability to multi-task, and acute attention to detail.
Exceptional communication skills in person and written
Proven track record of coordination, execution, and management of operations/administrative processes (minimum one year)
Proven track record of taking on the responsibility of running an office
Self-motivated and results driven
Skilled at building relationships and working effectively with all levels of the organization
Ability and agility to work in a global, multicultural, fast- paced ‘start -up’ environment
Responsible, proactive and displays high energy and enthusiasm
Highly skilled at prioritizing and determining ‘scalable’ solutions to provide excellent service/support to internal and external business partners
