Client Care Scheduler
Summary
Richview Community Care Services is a not-for-profit community-based organization in Toronto providing personal support services and programs to help frail older adults to live as independently as possible in their own homes. The Assisted Living Program runs and is staffed 24/7/365. This agency provides personal support, case management, supportive counselling and care planning to individuals and their caregivers. Hours:
Contract – 30 hours per week (may be expected to work additional hours as required). This position is scheduled afternoons, evenings, overnight, weekends and holidays It is a requirement of this position that shifts include evenings, public holidays and weekends.

Position Overview
The Client Care Scheduler, under the direction of the Executive Director, will primarily be responsible in supporting two agencies in their scheduling needs. This position will create schedules that utilize the staffing resources of the two agencies to its fullest capacity and match client care needs to available staff resources. The role must ensure that all scheduling and administrative function of both agency with respect to each agency’s policies and procedures. This role will also assist in maintaining and compiling data for various reports required by the agency. As part of the administrative team of Richview Community Care Services, other duties may include answering questions pertaining to the agency therefore previous experience in handling confidential or sensitive information is required.
Job Duties/Responsibilities
- Ensure direct staff are scheduled to meet client needs
- Schedule and support all direct staff utilizing AlayaCare scheduling software from a phone or computer.
- Monitors and checks client visits, data integrity
- Creates, manages and coordinates employee schedules and makes adjustments as changes occur.
- Acts as primary resource for all Direct Service Staff Scheduling;
- Provide staff scheduling support to both partner agency’s
- Compiles and posts call-in list
- Schedule and resolve staff/client schedule conflict
- Assist in gathering information pertaining to direct staff timesheets and work with the Payroll Coordinator pertaining to payroll adjustment
- Monitors, conduct client/staff COVID-19 screeners; (Wellness Screener for staff beginning of every shift)
- Assist in the compilation of data for various statistical reports
- Act as a point of contact and provide general information to staff, clients, and the public relating to their questions, concerns, or suggestions
- Maintain a high level of confidentiality in all interactions
- Assign Work in compliance with the provisions of the Employment Standards Act and Occupational Health and Safety Act and agency policies
- Uphold and promote each organization’s philosophy relating to our Mission, Vision, and Values and adhere to our policies and procedures
Environment: Hybrid. Computer work completed at home evenings, overnights and weekends. Remote work with on-site work/visit for training and staff meetings.
Work Conditions:
- Operation of desktop computer and peripherals

- Working in a busy office environment with frequent interruptions
Qualification:
- Post secondary education (diploma or degree) related to customer service, administration, office/business administration, social services or a related equivalent field is preferred.
- One year of experience in a related industry
- Ability to effectively communicate both verbally and in writing
- Superior telephone etiquette and interpersonal skills
- Strong knowledge of computer use including Microsoft & email. Reliable internet connection
- Knowledge of scheduling software, preferably AlayaCare is an asset
- Able to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems
- High level experience in handling confidential or sensitive information
- Must be supportive of each agency’s Mission Statement and Vision Statement
- valid first aid or CPR certificate
- Able to provide proof of full COVID-19 vaccination status
- Satisfactory Vulnerable Sector Screening Check
Richview Community Care Services offers competitive compensation rate from $21.50-23.50 per hour with extended health benefits.
