We are seeking a dedicated and self-driven Executive Assistant with strong communication skills to provide comprehensive support the President & Chief Operating Officer and other senior leaders of Diavik Diamond Mines (2012) Inc. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Reporting to the President & Chief Operating Officer and located at the Lac de Gras Mine site, you will be working a 2 weeks on / 2 weeks off rotation. This position will act as a seamless extension of the President & COO, and a partner to the local Management team.
Working collaboratively with all operational and functional departments, you will be responsible for:
Performing all administrative duties to support the President & Chief Operating Officer, enabling them to be highly effective in executing their roles.
Understanding business priorities, proactively anticipating needs, and driving improvements that build capacity for the leadership team.
Meeting tight deadlines while juggling multiple requests across teams.
Executive-level calendar management including but not limited to, prioritizing inquiries and requests while troubleshooting conflicts, make judgements and recommendations to ensure smooth day-to-day engagements.
Track and reconcile monthly credit card statements and complete and submit expense reports in a timely manner.
Coordination of domestic and international travel aligned with Company Policies and Procedures in addition to coordinating all aspects of internal and external visitors at the Diavik Mine Site.
Maintaining and championing appropriate filing and records consistent with Diavik document control procedures and statutory requirements.
Work closely with the President & Chief Operating Officer to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
Entering and maintaining data in business systems, as required.
Provide special project leadership and support as required.
Maintaining a high level of integrity and discretion while handling confidential information and professionalism when dealing with senior executives inside and outside the company.
Routinely creating and developing reports, which often will include collection of data.
Coordinating meetings, conferences and workshops including scheduling meetings, inviting participants, publishing agendas, and taking minutes, as and when required.
Working collaboratively with the site-based administrative team to ensure consistency in guidelines and approach.
Perform any other relevant duties as assigned.
What you’ll bring

At least seven (7) years of experience, three (3) if which must be at a similar level
Post-secondary education would be an asset
Strong organizational, problem solving, communication and interpersonal skills
Strong analytical skills and demonstrated ability to improve processes and increase efficiency
Ability to quickly learn organizational structures and team objectives
Team oriented philosophy and a commitment to supporting and developing others
Proven ability to juggle multiple projects at once
A keen attention to detail and the ability to maintain a high level of accuracy
Proven ability to work effectively both independently and as a member of a team
Expert proficiency in Microsoft suite (Word, Excel, PowerPoint, Outlook)
Proven proficiency in office management procedures and protocols including document control, data entry and basic accounting
Northern residency and experience working in a cross-cultural environment, coupled with knowledge of the unique challenges and opportunities presented to those living in the North, are assets.
