Job Summary: We are seeking a highly organized and efficient Operations Coordinator to provide comprehensive support to the Operations Manager and CEO of our consulting firm. This role is instrumental in relieving the CEO of administrative and operational tasks, allowing them to focus on strategic initiatives and client engagement. The Operations Coordinator will also collaborate closely with the President and the Director of Operations in driving strategic planning efforts. This position requires exceptional multitasking abilities, strong communication skills, and the ability to work both independently and collaboratively in a fast-paced and dynamic environment. Level: Entry-management Hours: 30 hours per week to start Pay Range: $17-$25 U.S. an hour Responsibilities:
- Executive Support:
- Provide proactive and comprehensive administrative support to the CEO.
- Manage and prioritize incoming communications, including emails, phone calls, and mail, ensuring urgent matters are addressed promptly.
- Prepare and edit correspondence, presentations, and other business documents on behalf of the CEO.
- Coordinate and schedule meetings, conferences, and events, both internally and externally.
- Strategic Planning Support:
- Assist the Director of Operations in driving strategic planning initiatives, including conducting research, compiling data, and preparing reports.
- Coordinate and manage logistics for strategic planning meetings and off-site retreats.
- Collaborate with cross-functional teams to gather information, facilitate communication, and ensure timely completion of strategic projects.
- Help maintain strategic planning documents and databases, ensuring accurate and up-to-date information.
- Operational Support:
- Support the Director of Operations in coordinating and implementing operational processes and procedures.
- Assist in the development and maintenance of standard operating procedures and documentation.
- Help streamline administrative workflows, identifying opportunities for process improvements.
- Contribute to the coordination and execution of special projects and initiatives as assigned.
- Client Support:
- Provide remote support to the CEO while deployed in the field with clients, including managing communication, documentation, and scheduling.
- Serve as a liaison between the CEO, clients, and internal teams, ensuring smooth communication and timely resolution of client-related issues.
- Assist in preparing client presentations, proposals, and contracts as needed. Requirements:
- Bachelor’s degree in business administration, communications, or a related field (or equivalent work experience).
- Proven experience as an Administrative Assistant or in a similar support role.
- Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools and software is a plus.
- Ability to maintain confidentiality and exercise discretion.
- Proactive and self-motivated with a strong work ethic.
- Ability to work independently and collaboratively in a fast-paced and dynamic environment.
